About the Opportunity Our client a progressive and highly respected business law firm in Victoria is seeking a Practice Manager (Legal Administrative Assistant) to join its Commercial Real Estate and Corporate team.
This opportunity is ideal for a detail-oriented and proactive legal professional who enjoys being closely integrated into legal work collaborating with lawyers and clients and contributing to the continuous improvement of team processes and operations.
Key Responsibilities Responsibilities include but are not limited to:
Commercial Real Estate & Corporate Transaction Support
Draft legal documentation based on precedents and instructions including LTSA filings statements of adjustments corporate resolutions and transaction correspondence
Coordinate and participate in LTSA meetings where appropriate
Conduct searches through registries including the First Nations Land Registry and GATOR
Assist with commercial real estate and business transactions
Support routine corporate transactions with guidance from paralegals
Conduct due diligence searches and prepare summaries
Review loan instructions and assist in preparing financing documentation for mortgages and standalone financing
Conduct property research and preliminary review of purchase and sale agreements
Prepare lease drafts using firm precedents
Compile signature packages for lenders vendors and purchasers
Prepare closing agenda checklists closing books and real estate transaction documentation
Coordinate signing appointments and assist lawyers during client meetings
Liaise with the finance team regarding trust transactions
Obtain strata documents and coordinate return and storage of original title documents
Administrative & File Management
Revise documents based on lawyer markups
Manage document formatting assembly scanning and file organization
Assist with client intake and onboarding processes
Track outstanding deliverables and client signatures
Handle client requests and day-to-day administrative coordination
Manage email filing and organization
Coordinate scheduling courier arrangements and occasional client gifts
Team Coordination & Process Improvement
Anticipate next steps in transactions and proactively support workflow management
Track tasks and hold team members accountable to internal processes and deadlines
Assist with improving systems and administrative workflows
Support business development initiatives and internal projects
Identify and implement technology solutions to streamline team organization and task management
The Ideal Candidate The successful candidate will be a confident organized and proactive professional who thrives in a collaborative legal environment. You will bring:
3 years of experience in a legal administrative or legal assistant role
Experience supporting commercial real estate transactions (strongly preferred)
Exposure to corporate/commercial law considered an asset
Completion of a Legal Administrative Assistant program or equivalent experience
Strong document drafting proofreading and organizational skills
Excellent attention to detail and ability to manage multiple priorities
Confidence communicating with lawyers clients and internal teams
A proactive mindset with a desire to improve processes and workflows
Strong technical aptitude and interest in leveraging technology to work more efficiently
