Position Summary
Reporting to the Director of Talent Acquisition the Manager Talent Systems & Operations is responsible for managing and improving the systems processes and workflows that support hiring across KIPP NorCal. This role supports access to clear reliable hiring data which enables the Talent Acquisition Team to monitor progress communicate updates and make informed decisions.
This role ensures that Talent systems including the Applicant Tracking System (ATS) and existing tools (e.g. Google Sheets) are structured reliable and easy to use for day-to-day hiring operations. The Manager will lead efforts to reduce manual processes improve data quality and support the transition from spreadsheets to more sustainable system-based workflows.
In addition to systems management this role manages a small portfolio of schools applying data insights to drive strong hiring outcomes and pilot improvements to TA processes.
This is a high-impact role at the intersection of operations systems and strategy and is critical to building a more efficient data-driven Talent Acquisition function that can scale beyond any one individual.
This is a hybrid role with the expectation that three days per week be spent onsite at our school campuses or at our Regional Support Office in Oakland.
Preferred Qualifications
Experience:
- 2 - 4 years of experience in operations HR operations recruiting operations systems administration or a related field
- Experience managing or supporting systems such as ATS HRIS CRM or similar platforms
- Experience improving processes workflows or systems to increase efficiency and reduce manual work
- Experience maintaining data quality and supporting reporting within operational systems
- Experience working with applicant tracking systems (ATS) and/or HRIS platforms (e.g. UKG Jobvite Greenhouse Workday) preferred
- Experience working in or with schools school systems or education organizations strongly preferred but not required
- Experience in talent acquisition or recruiting environments strongly preferred but not required
Education:
- Bachelors degree required
- Relevant certifications or training in operations HR systems or project management preferred but not required
Knowledge/skills required:
- Strong problem-solving skills with the ability to identify process gaps and support improvements
- Proficiency in tools such as Google Sheets or Excel; ability to maintain trackers and support basic reporting
- Systems thinker with the ability to support scalable efficient and user-friendly processes
- High attention to detail and commitment to data accuracy and consistency
- Ability to organize information and present clear actionable updates to team members
- Strong project management and organizational skills; able to manage multiple priorities
- Ability to support adoption of systems and processes across a team
- Comfortable working in evolving environments and improving existing systems
- Strong communication and collaboration skills across teams
Essential Functions and Responsibilities
TA Systems & Operations (Primary)
- Ensure accuracy consistency and integrity of prospect candidate and hiring pipeline data across systems through strong process and data quality practices
- Improve system workflows and configurations to support clear visibility into hiring progress
- Identify and reduce manual processes including transitioning away from spreadsheet-based tracking and towards more cohesive dashboards where possible
- Build and maintain systems that are well-documented sustainable and easy for teams to use
- Document systems processes and data definitions to ensure clarity and long-term maintainability
Reporting & Data Enablement
- Develop and maintain regular operational reporting (weekly monthly seasonal) for TA team and school leaders on vacancies hiring pipeline and progress towards quarterly goals.
- Provide clear visibility into hiring pipeline open roles and progress toward hiring goals
- Support members of the Talent Acquisition Team with accessible reliable data to inform updates and decisions
- Enable self-service access to data through system-based reporting and dashboards
School Portfolio Management (Secondary)
- Manage a small portfolio of schools to support strong hiring outcomes and timelines
- Partner with school leaders to advise on hiring strategy and execution
- Own end-to-end candidate management for assigned roles
- Use data to inform decisions and pilot improvements to TA processes within portfolio
Team Enablement Training & Collaboration
- Train and support Talent team members on systems workflows and reporting tools
- Build team capacity to effectively use systems and access data to support day-to-day work
- Promote consistent use of systems and processes across the team
- Serve as a key partner to Associate Directors and the Director of Talent Acquisition on systems and operations
- Collaborate with cross-functional teams to support alignment on hiring processes and system usage
- Partner with the Data Team and members of the Total Employee Experience (TEX) Team on standardized metrics dashboards and deeper analysis
- Model strong ownership continuous improvement and a solutions-oriented approach
Physical Mental and Environmental Demands
Physical: Ability to navigate office and school campuses and hold meetings in different spaces. Traditionally much of the day involves sitting. Ability to access and utilize technology. Occasional lifting/carrying of equipment 1-20 lbs. Physical agility to move self in various positions in order to execute duties effectively which may include kneeling walking pushing/pulling squatting twisting turning bending stooping and reaching overhead
Mental: Stress of deadlines and normal work standards ability to analyze problems and generate alternatives work with interruptions concentrate for long periods of time read calculate perform routine math problems memorize and recall objects and people.
Environmental: Office environment subject to constant interruptions and distractions. Occasional travel to schools in the Bay Area required. KIPP adheres to health and safety guidelines as outlined by the CDC CDE and public health agencies recommendations.
Classification
This is a full-time exempt position based on a full year calendar cycle based out of our Regional Support Office with frequent travel to schools and districts.
This is a hybrid role with the expectation that three days per week be spent onsite at our Regional Support Office in Oakland.
Must possess a valid California drivers license and have access to reliable transportation for work-related travel.

Compensation
KIPP Northern California is dedicated to you and your familys well-being! We offer a competitive salary as well as a comprehensive benefits package including medical dental vision and transportation benefits.
We benchmark annually against comparably-sized non-profit organizations in the regions where we operate to offer competitive salaries. The salary range for this position is between $83000 and $95000. Most candidates would be compensated at $89000.
