CANADIAN INSTITUTE FOR CYBERSECURITY
The Canadian Institute for Cybersecurity is a multidisciplinary research training and innovation unit that collaborates closely with researchers in social sciences business computer science engineering law and science as well as with external research centres. Established in 2016 CIC provides a unique environment where researchers and practitioners advance applied multidisciplinary cybersecurity research and training.

Standard Work Hours: Mon - Fri 8:15 am - 4:30 pm 36.25 hours per week

Salary Range: $54767 - $74642 per annum

YOUR FOCUS

Reporting to the Director the Administrator & Operations Manager provides seniorlevel administrative and operational leadership and is accountable for the planning management coordination and oversight of Institute operations. This includes managing core administrative financial and operational functions that support more than 90 personnel complex multisector partnerships and multimilliondollar research and development activities. The Manager functions as the central point of operational authority overseeing daytoday operations supervising administrative staff and ensuring continuity compliance and effective service delivery.

  • Lead and manage Institute operations; provide administrative and operational leadership in support of research training and innovation activities.
  • Plan coordinate and oversee day-to-day operations; establish priorities; monitor workflows and service delivery; ensure alignment with Institute objectives.
  • Resolve complex operational issues and inquiries; ensure timely follow-up on commitments; maintain operational continuity efficiency and effectiveness across CIC and CADC.
  • Supervise administrative support staff; assign and prioritize work; provide training and guidance; monitor performance; ensure adequate operational coverage.
  • Oversee and review administrative and financial transactions; ensure accuracy compliance with institutional policies and appropriate approvals; escalate issues as required.
  • Manage human resources administration and coordination including staffing and recruitment support; onboarding and offboarding; maintenance of confidential records; and coordination of access and security requirements.
  • Serve as the primary liaison with People & Culture the Faculty of Computer Science and other units; coordinate submission tracking and follow-up of employment documentation; provide guidance on HR processes and requirements.
  • Coordinate orientation and security screening for Institute members.
  • Serve as the primary administrative and operational liaison with internal and external stakeholders including faculty researchers students senior administration central service units NRC teams and industry and government partners.
  • Manage the Directors schedule and provide senior administrative support for governance activities; serve as Secretary to the Advisory Board; coordinate meetings documentation and follow-up on decisions and action items.
  • Lead the planning and delivery of Institute-wide meetings seminars and major events including the annual Industry Summit; oversee logistics scheduling facilities stakeholder engagement and reporting.
  • Coordinate special initiatives involving visiting faculty speakers dignitaries students and external partners; ensure professional and seamless execution.
  • Lead and manage communications operations and digital presence including websites and social media platforms.
  • Develop implement and evaluate communication and content plans; ensure compliance with university standards; monitor analytics; assess effectiveness; report outcomes.
  • Manage Institute records; ensure confidentiality accuracy and compliance with institutional policies and regulatory requirements.
  • Prepare and coordinate operational data metrics and reports including contributions to the annual report; support planning accountability and institutional reporting.

WHAT YOU BRING

  • Bachelors degree preferably in Business Administration Public Administration Management Communications or a related field
  • 5 years of progressively responsible administrative and operational experience in a research academic or comparable environment.

  • A Demonstrated supervisory and leadership skills including the ability to manage workloads provide guidance and training oversee delegated responsibilities and ensure continuity of operations in a complex academic research environment.
  • Strong human resources knowledge including experience with recruitment processes onboarding and offboarding contract administration confidentiality and interpretation and application of institutional policies and procedures.
  • Advanced organizational planning and problemsolving skills with the ability to manage competing priorities exercise sound judgment and work independently in a highvolume fastpaced environment.
  • Proven communication and stakeholdermanagement skills including the ability to interact effectively with senior leadership faculty staff students industry and government partners and the public.
  • Experience in strategic communications and digital governance including management of institutional websites and social media platforms content planning analytics review and alignment with organizational priorities and university standards.
  • High level of professional discretion and confidentiality with demonstrated ability to manage sensitive information related to personnel research finance and partnerships.
