HR Coordinator Executive Assistant to the CHRO

Job Summary
Washington Trust Bank is seeking a highly experienced Executive Assistant to support the Chief Human Resources Officer (CHRO). This role provides advanced administrative operational and programmatic support to executive leadership and plays a key role in board support reporting compliance coordination executive logistics and employee engagement initiatives. The ideal candidate is detail-oriented highly professional and experienced working in a dynamic executive environment.

Essential Functions:
Executive & Board Support
- Prepare quarterly board and executive reports including pulling financial data compiling information from multiple business lines and drafting executive summaries.
- Serve as a liaison between the CHRO executive leaders board members vendors and external partners.
Administrative & Operational Leadership
- Manage complex executive calendars and coordinate schedules across multiple senior leaders.
- Prepare correspondence reports presentations and confidential executive materials.
- Maintain records and generate reports using Microsoft Office HR systems databases and organizational tools.
HR Systems Compliance & Risk Support
- Maintain working knowledge of HR systems to support employee status changes terminations reporting needs and information requests.
- Assist with compliance risk management legal and audit-related activities.
- Support departmental programs requiring accurate documentation and adherence to regulatory requirements.
Executive Benefits Expenses & Vendors
- Assist with executive benefits administration including coordination with external partners and processing invoices.
- Prepare and reconcile detailed executive expense reports.
- Manage vendor relationships and the vendor management program for the Human Resources department.
Recruiting & Executive Search Support
- Coordinate interview schedules for executive-level and high-level positions across multiple leaders.
- Arrange travel accommodations and itineraries for executive candidates and external partners.
- Support a seamless and professional candidate experience.
Employee Engagement Events & Culture
- Plan execute and support multiple employee engagement events leadership trainings etc.
- Lead HR team engagement and team-building initiatives.
- Coordinate development succession planning and 360 coaching initiatives.
Qualifications:
- Bachelors in HR or Business Administration preferred.
- Extensive experience providing high-level administrative support to senior or executive leadership.
- Foundational knowledge of Human Resources practices including familiarity with employment law and HR policies.
- Strong proficiency in Microsoft Office (Word Excel PowerPoint Outlook) and comfort working with HR systems and reporting tools.
- Experience preparing executive- or board-level reports and summaries.
- Demonstrated discretion when handling confidential and sensitive information.
- Strong organizational project management and event planning skills.
- Excellent written verbal and interpersonal communication skills.
- Ability to manage multiple complex priorities in a fast-paced environment.
Compensation: $28.46 - $42.70 per hour
The compensation range represents the low and high end of the base compensation range for this position located in Spokane WA. Actual compensation will vary and may be above or below the range based on various factors including but not limited to location experience and performance.
