General Description
The Front Desk & Volunteer Coordinatorserves as the first point of contact for visitors and volunteers at The Center on Colfax. This position is a public-facing representative of the Center on Colfax staffing the front desk and assisting community members who visit or call with inquiries. The person in the position coordinates the volunteer program and all stages of the volunteer experience. People who thrive in this role have outstanding interpersonal skills and the ability to multitask; specifically being present and responsive to those we serve while tracking ongoing projects andpriorities. The standard weekly schedule for the position is 12:00 pm to 8:00 pm Monday through Thursday 12:00 pm-5:00 pm on Friday. The position supports occasional one-time events typically on Friday nights and weekends.
Essential Functions
Front Desk
- Ability to exchange accurate information with clients and coworkers in person or via telephone or computer.
- Provide front desk coverage as needed.
- Ensure that incoming telephone calls are answered professionally directed appropriately and any needed follow-up is completed.
- Retrieves messages from the front desk voice mail and forwards them to the appropriate personnel.
- Update the Centers phone system voicemail when the Center is closed for inclement weather.
- Research resources for the LGBTQ community and maintain a resource guide for volunteers staff and interns to provide to the general public.
- Contribute to safety by monitoring the front desk and lobby for security concerns.
- Work with the Director of Operations and Center security to respond to incidents fill out incident report forms and facilitate the Centers Safety Committee.
- Work with volunteers and the Library Committee to do day-to-day duties around the library including checking books in and out and ensuring books are shelved appropriately.
- Co-closing the Center after evening programming has concluded.
Volunteer Management
- Oversee the recruitment training scheduling monitoring of front desk volunteers to assist with daily operations at The Center on Colfax.
- Coordinate volunteer applications; including scheduling phone interviews background checks safety trainings and general onboarding of Center volunteers.
- Maintain and update the Centers CRM system with volunteer information including emergency contact information.
- Communicate Center closures with volunteers.
- Coordinate group volunteer events.
- Liaison with the VP of Community Engagement to support volunteer needs for Denver Pridefest.
- Maintainconfidential donor/constituency/employee/client information with sensitivity integrity and accuracy.
Administrative Coordination
- Performs other clerical duties as needed such as ordering and signing for deliveries filing photocopying and collating.
- Managing meetings with third-party programming and the Centers Board including scheduling setup/breakdown occasional notetaking and managing virtual options.
- Help facilitate the accuracy of the Centers room reservation system for internal and external programming.
- Other duties as assigned.
Required Qualifications
- Demonstrated professional and/or personal awareness and understanding of the issues and needs affecting Denvers LGBTQ community.
- 2 years of experience working in volunteer or staff management.
- 2 years of experience managing contact information.
- 2 years of experience managing incoming calls including transferring phone calls setting up voicemail etc.
- Enthusiasm to work with a diverse population of co-workers volunteers and community members.
- Ability to motivate and train new volunteers.
- Self-directed organized and flexible with the proven ability to manage multiple complex tasks.
- Excellent written and verbal communication skills.
- Must be patient flexible and able to adapt and overcome in the face of adversity.
- Proven team leader able to work well in a team environment.
- Computer proficient in Microsoft including Word Excel PowerPoint Teams and Outlook.
- Ability to flex scheduleas needed to provide coverage for events.
- Must be available to workthe month of Juneto support Denver PrideFest.
- Because The Center works with a variety of at-risk populations employment is contingent on a background check.
