We are seeking a highly organized adaptable and discreet Executive Personal Assistant to support the ownership of a growing hospitality and real estate company. This role is ideal for someone who thrives in a fast-paced environment maintains a calm and professional demeanor under pressure and can seamlessly shift priorities as business needs evolve.
The right candidate will act as a trusted partneranticipating needs managing competing priorities and ensuring day-to-day operations run smoothly both professionally and personally.
Key Responsibilities
- Manage complex calendars appointments and scheduling across multiple time zones
- Coordinate travel arrangements itineraries and accommodations
- Serve as a gatekeeper and liaison between the CEO and internal/external stakeholders
- Assist with real estate and long-term rental coordination as needed
- Handle confidential information with the highest level of discretion
- Support meeting preparation including agendas materials and follow-ups
- Run personal and professional errands and manage day-to-day administrative tasks
- Track projects deadlines and deliverables to ensure timely execution
- Adapt quickly to changing priorities and provide proactive problem-solving
Qualifications
- Proven experience as an Executive Assistant Personal Assistant or similar role supporting senior leadership
- Exceptional organizational and time management skills
- Ability to remain calm professional and solutions-oriented in a dynamic environment
- Strong communication skills (written and verbal)
- High level of discretion and confidentiality
- Tech-savvy with proficiency in Google Workspace Microsoft Office and scheduling tools
- Self-starter with the ability to anticipate needs and work independently
- Flexibility to accommodate occasional after-hours or urgent requests
