Fully Remote; up to 15% travel required

SUMMARY

TheLogisticsSpecialistis responsible forexecutinglogistics customer service and administrative tasks related to materials is crucial in efficiently driving ourlogisticsoperations maximizing profitability mitigating riskproviding excellent customer service and responsiveness whileensuringproactive and clearcommunication acrossthe necessaryfunctional groupsand individualishighly motivated collaborativedetail-oriented andcanmulti-task withahighsense ofurgency.

NOTE:This job descriptionoutlines keylogisticsteam functions and is intentionally broad in scope to allow flexibility across domestic and international responsibilities. An individuals workload will depend on experiencetrainingand business needsas market conditions change.

ESSENTIAL FUNCTIONS

Load Scheduling & Coordination

  • Coordinate with brokerage suppliers consumers andlogisticsvendors to schedule shipments in alignment with PO terms and conditions.

  • Promptly schedule supplier loads upon request and proactivelyfollowup on open orders; keepingcommercial stakeholders informed of progressand seeking their support when necessary.

  • Schedules and manages pickup and delivery appointments. Collaborates to maximizeutilizationand proactively communicates misses and recovery plansto theappropriate parties.

  • Utilizes established templates processes and systems to request bookings/tendersand appointments.

  • Facilitate reallocations(or change of destinations)as directed to meet market demands with urgency and accuracy while minimizing cost impact.

  • Assignslogisticspartners by prioritizing cost and balancing transit time reliability and service capability.

  • Maintain and update required spreadsheets and systems in real time with attention to detail.

Rate Management &Invoicing

  • Providesaccurateandtimelyrate information to commercial professionals.

  • Works closelywith approved vendorsto obtain multiple ratesandmaintainsall quotesinourrate managementplatform.

  • Identifieslanes suitable for long-term rate agreements and recommendsaccordingly.

  • Maintainsdocumentationand tracksaccessorialchargeson a load basis confirmingthey are invoiced in accordancetoany existing agreements orcarrier/brokeraccessorial tables.

  • Partners withcommercial team todetermineresponsibility forincurred charges and instruct admin/accounts payable accordingly.

  • Resolve freight-related discrepancies with vendors and internal teams including invoice disputes. Communicating outcomes to relevant parties for payment and/or debits whereappropriate.

Documentation & Compliance

  • Prepare shipping documentation withaccuracy and timelinesswhen necessary.

  • Ensuresaccurateusage of HTS and Schedule B classifications atthetime of booking.

  • Facilitatescompliance withregulatory agenciescustomsand trade in coordination with customs brokersandinternalCompliance Specialistand relevant partners.

  • UnderstandsandappliesIncoterms appropriately across shipments DTHCs Customs Clearance responsibility freight responsibility etc.

  • Ensure compliance with all applicable laws regulations and ISO standards.

Inventory & WarehouseCoordination

  • Provide importETAstologisticscounterpartsand warehousesforcoordination offinal deliveries.

  • Assign warehouse partnersbased on inboundforecast free timeratesand storage requires close coordinationwith partner facilities to understand available capacity andtominimizecosts.

  • Collects verifiesand reportsmonthly physical inventories at third-party warehouses to Finance and Accounting.

  • Validates invoicing accuracy(handlingand storage costs)approvingforpaymentor disputing asrequired.

Issue Resolution & Claims

  • Addresslogisticsissues with urgencyattention to costand professionalism.

  • Monitors international shipments addressing customs holds delays and cost-related issues with urgency to minimize financial and operational impact.

  • Documentandprepare3rd-party freight claimstoreviewwithDirector of Logisticsbeforesubmission.

  • Followestablished procedures to mitigate load theft risk andfollowStolenLoad protocol with urgencyif/when a theft is suspected.

Stakeholder Engagement & Communication

  • Build andmaintainstrong relationships with internal and external partners (e.g. carriers brokers warehouses customs brokers commercial accountingand finance teamsetc).

  • Ensure workload visibility and collaborate with teammates for seamless service and coverageintimes of workabsence.

  • Participate actively in vendor meetings while seeking synergies and contributing to continuous improvement discussions.

Other Responsibilities

  • Stay informed on freight market trends through regular webinars seminars and industry updates.

  • Remaincognizantofurgent (carrier delivery)issues after hours/weekendsand respondas needed.

  • Leverage partner technologies for tracking analytics claims and inventory management.

  • Support and adoptnew technologyimplementations aligned with strategic goals.

  • Adopt a mindful approach to travel and expense spending balancingneedand fiscal responsibility.

  • Submits TripSummaryand/or Meeting Minutesto Director of Logistics and VP of Operations.

  • Travel up to 15% as needed using the most resource-efficientmethods.

  • Consult with the Director of Logistics as needed and perform other duties as assigned.

Qualifications

POSITION QUALIFICATIONS

EDUCATION AND EXPERIENCE

  • High school diploma GED or equivalent (required)
  • 3 years of demonstrated international logistics and customer service experience (required)
  • Multi-modal logistics and commodity experience (required)
  • Bachelors degree (or equivalent) in logistics supply chain management or related disciplines(highly preferred).
  • Bilingual fluency in English and Spanish (preferred)

PHYSICAL REQUIREMENTS

  • Routinely sits; uses hands to type; reach with hands and arms
  • Ability to safely perform site visits and travel as necessary.
