About the Role:

The Clinical Compliance Coordinator is responsible for collecting verifying tracking and maintaining required clinical compliance documentation for students enrolled in Health Sciences programs. This role ensures students meet all regulatory institutional and clinical site requirements prior to participating in clinical experiences and maintains accurate records in compliance with FERPA and other applicable regulations.

MAJOR RESPONSIBILITIES:

  • Collect review and verify student clinical compliance documentation including but not limited to: Physical examinations Immunization records CPR certification Drug screen results Criminal background checks TB testing and other program-specific requirements
  • Track compliance deadlines and notify students of missing or expiring documentation.
  • Maintain accurate and confidential student records in designated compliance management systems databases and shared platforms.
  • Communicate compliance requirements clearly to students faculty program chairs and clinical partners.
  • Serve as a primary point of contact for student questions related to clinical compliance requirements and processes.
  • Ensure adherence to clinical site accrediting agency state and institutional policies.
  • Generate reports and conduct audits related to student compliance status as requested.
  • Collaborate with program leadership and clinical partners to resolve compliance issues or exceptions.
  • Assist with onboarding processes for students entering clinical programs.
  • Update track and maintain clinical affiliation agreements to ensure accuracy currency and compliance with institutional and partner requirements.
  • Conduct clinical site visits to support partnership quality verify requirements and maintain effective working relationships.
  • Stay current on evolving clinical compliance requirements regulations and best practices.
  • Support continuous improvement of compliance workflows and documentation processes.

EDUCATION AND EXPERIENCE:

  • Associates degree required; Bachelors degree preferred in healthcare health sciences or a related field
  • Working knowledge of medical terminology and healthcare documentation requirements
  • Strong organizational skills with the ability to manage multiple deadlines
  • High level of attention to detail and accuracy
  • Ability to handle confidential information professionally and ethically
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office Google Workspace and database systems
  • Ability to work independently and collaboratively in a fast-paced environment

Preferred Qualifications:

  • Experience working in higher education healthcare or clinical education programs
  • Familiarity with clinical compliance management systems (e.g. CastleBranch Complio Exxat)
  • Knowledge of FERPA HIPAA and clinical regulatory standards
  • Experience coordinating with clinical partners or external agencies

Work Environment

  • Frequent interaction with students faculty staff and clinical partners
  • Periods of increased workload aligned with academic start dates and clinical onboarding cycles
