Operations Manager
Job Summary
Manage the end-to-end supply chain covering the warehousing handling and dispatch of mattresses textiles home fragrances protectors and hospitality goods.
Maintain precise stock levels across all product categories to prevent stockouts and eliminate overstock waste.
Negotiate contracts with freight carriers manufacturers and logistics partners to optimise shipping costs and lead times.
Oversee the Inventory Officer in maintaining real-time stock accuracy and reconciling physical counts against system records.
Interface with the Storekeeper on storage protocols product placement and warehouse organisation standards.
Implement and enforce rigorous inspection protocols for linens duvets towels and all hospitality-grade products to ensure they consistently meet Vivanos quality benchmarks.
Work with the Quality Control Officer on escalation decisions product rejection thresholds and supplier performance reviews.
Maintain a return and defect rate below the agreed threshold by building proactive quality checkpoints into the fulfilment process.
Ensure all products leaving Vivanos warehouse meet the presentation labelling and condition standards expected by retail and B2B clients alike.
Guide the Business Development Officer in identifying prospecting and converting high-value B2B clients including hotel chains boutique guesthouses short-let operators and property management groups.
Review and approve B2B proposals pricing structures and contract terms before submission to clients.
Develop product bundles and client-tiered offerings that align Vivanos inventory with the specific needs of hospitality and retail segments.
Monitor hospitality and home decor trends to anticipate demand shifts and position Vivano ahead of the market.
Represent Vivano in key client meetings and negotiations where senior presence is required.
Provide strategic direction and approval authority over the Digital Engagement Specialists content calendar campaign plans and brand communications.
Ensure that all digital output including social media email campaigns and product listings reflects Vivanos premium brand voice and commercial objectives.
Monitor online reputation customer feedback and digital performance metrics and hold the Digital Engagement Specialist accountable to agreed KPIs.
Align the retail brand identity with the B2B supply side to ensure a consistent and credible market presence across all channels.
Approve all public-facing brand decisions that carry commercial or reputational implications.
Manage the operational P&L holding direct accountability for the profitability of both retail and wholesale divisions.
Supervise the Admin/Accounts Officer in the execution of budget tracking vendor payments petty cash management and financial reconciliation.
Review and approve operational expenditure within the authority limits defined by the MD.
Ensure all financial reports are submitted accurately and on time and that discrepancies are investigated and resolved promptly.
Identify cost-saving opportunities across logistics procurement and operations without compromising product or service quality.
Provide clear direction consistent performance feedback and professional development support to all four direct reports.
Conduct regular one-on-one reviews with the Inventory Officer Digital Engagement Specialist Business Development Officer and Admin/Accounts Officer.
Establish and enforce Standard Operating Procedures (SOPs) across all operational functions in coordination with the Head of HR and Compliance ensuring that all divisional SOPs comply with applicable Nigerian labour and data protection law prior to formal adoption.
Foster a culture of accountability ownership and continuous improvement across the operations division.
Lead cross-functional coordination between the warehouse sales finance and digital teams to ensure operational harmony and shared objectives.
Train hospitality clients and their staff on proper textile care to maximise the ROI and longevity of Vivanos products.
All disciplinary action performance improvement plans and employment separations within the Operations division must be conducted in accordance with Vivanos HR policies and with the prior involvement of the Head of HR and Compliance.
Requirements
University degree in Business Administration Logistics Supply Chain Management or a related field.
Professional certification in Supply Chain Management Warehouse Operations or a recognised equivalent (e.g. CIPS APICS CILT or Nigerian Institute of Purchasing and Supply Management).
Additional qualification or demonstrable knowledge in brand management digital marketing or commercial strategy is a strong advantage
Minimum of three years of progressive operations or supply chain management experience with at least one year in a leadership role managing cross-functional teams.
Demonstrable experience managing or closely collaborating with business development digital or marketing functions.
Proven track record of P&L ownership or financial oversight within an operational context.
Experience in the hospitality supply home goods or consumer retail sector is highly desirable.
Familiarity with B2B sales cycles contract negotiation and client management in a product-based business.
Proficiency in inventory management systems and shipping or fulfilment software.
Solid financial literacy including budget management expenditure approval and P&L interpretation.
Familiarity with digital engagement metrics content performance tools and brand communication standards.
Working knowledge of Nigerian transport regulations warehouse safety standards and relevant commercial law.
Competence in standard productivity tools for reporting scheduling and team coordination.
Required Skills:

Firm fair and consistent decision-maker when managing staff. Detail-oriented with a focus on organizing smooth work systems. Ability to drive change and make sure everyone follows the correct steps (SOPs).
