Job Summary

Description

The Executive Assistant provides high-level executive clerical support for the Executive Director Finance and Human Resources Departments. Handles all Board related communications and activities.

Environmental Conditions

Primarily works indoors seated at a desk using a computer.

Essential Functions

  1. Provides Board related support including coordination of Board communications updating of Board portal recording and distributing meeting agendas minutes and maintaining accurate Board lists.
  1. Provides Board Committee support for three committees including coordination of committee communications updating of Committee portal recording and distributing meeting agendas minutes and maintaining accurate files.
  1. Manage orientation and onboarding documents for new board trustees and offboarding for departing trustees.
  1. Supports Finance Department assisting with accounts payable posting and filing and making revenue deposits for Finance.
  1. Provides administrative support to the Executive Director to include calendar management and meeting preparation.
  1. Orders supply and manage office equipment.
  1. Backup to open and distribute daily mail and logs all checks received.
  1. Responds to and resolves administrative inquiries and questions.
  1. Lives by the Core Values.
  1. Performs other related duties.

Qualifications

Minimum Qualifications

Education/Training: High school diploma or General Equivalency Development (GED).

Experience: Two years general office experience including dealing with the public. Two years active experience using Microsoft Office Suite or equivalent performing data entry to a relational database and searching the Internet in a Windows environment.

Required: Maintains confidentiality of administrative matters. Ability to produce accurate grammatically correct written communication. Excellent customer service and communication skills ability to move 20 lbs. unassisted. Requires independent transportation for travel to libraries programs and outreach locations.

Preferred: Experience with cloud-based accounting and office software.
