Department Summary
The Division of Graduate Studies serves as the institutional home for all graduate students and is the administrative office with ultimate responsibility for policy and procedures relevant to graduate education and graduate students. The Division of Graduate Studies provides cross-disciplinary experiences funding and professional development; advocates for graduate students; and partners with programs for student success. Its programs and services affect nearly 3500 graduate students and more than 150 graduate degree programs. The Divisions core purpose is to promote graduate education by fostering excellence innovation and inclusiveness across all graduate programs.
Position Summary
The Graduate Enrollment Coordinator helps manage key processes that support graduate students from enrollment through graduation. This role ensures students meet university requirements such as continuous enrollment and satisfactory academic progress and helps coordinate graduation and degree completion processes.
The position manages a variety of student record and enrollment processes including academic leave reinstatement withdrawals and transfer of graduate credit. The role also supports doctoral students advancing to candidacy and manages graduate graduation processes including the review and processing of theses and dissertations.
The Graduate Enrollment Coordinator provides information and guidance to students faculty staff and the public about graduate registration graduation procedures and Division of Graduate Studies policies. The position also reviews student petitions and requests for policy exceptions and helps explain requirements and processes to departments and students.
This role maintains a strong understanding of graduate policies and procedures and applies them when reviewing student records and graduation requirements.
The Graduate Enrollment Coordinator reports to the Assistant Vice Provost for Graduate Studies.
Minimum Requirements
Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project program or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws rules and regulations; administrative data collection and analysis; and evaluation of projects processes and operations; OR
An equivalent combination of training and experience.

High level of proficiency with Microsoft Office Suite and related Microsoft systems.
Preferred Qualifications
Bachelors degree in a relevant field.
Experience using Microsoft Excel to manage analyze and track individual-level data with accuracy and attention to detail.
Experience working with university information systems such as Banner Cognos Slate or comparable enterprise systems.
Experience working within an institution of higher education.
Experience supporting or working within graduate education programs or administration.
