About the Role
We are hiring a highly organized and proactive Executive Assistant to CEO to provide strategic and operational support at the leadership level. This is a high-impact role requiring exceptional attention to detail strong communication skills and the ability to manage multiple priorities in a fast-paced environment.
You will act as the central coordination point for the CEOs office ensuring seamless execution of tasks meetings communication and follow-ups.
Key Responsibilities
Calendar & Executive Management
Manage the CEOs calendar with zero conflicts scheduling prioritization and time protection
Coordinate internal & external meetings appointments and travel plans
Communication & Coordination
Act as the first point of contact for the CEOs office
Screen and manage emails calls and correspondence
Liaise with department heads clients vendors and stakeholders
Documentation & Presentations
Prepare proofread and format reports proposals and official communication
Create high-quality PowerPoint presentations for board meetings and client pitches
Meeting Management & Follow-Ups
Attend meetings and record detailed Minutes of Meeting (MoM)
Track action items follow up with stakeholders and ensure timely completion
Maintain structured task tracking and reporting systems
Task & Priority Management
Maintain a centralized task dashboard for CEO priorities
Provide daily briefings and updates on pending matters
Anticipate needs and proactively resolve potential issues
Travel & Logistics
Manage domestic & international travel arrangements (flights hotels visas itineraries)
Handle meeting logistics agendas and briefing documents
Confidentiality & Organization
Handle sensitive information with complete discretion
Maintain organized filing systems (digital & physical) for easy retrieval
Projects & Research
Support special projects and research tasks
Gather data analyze insights and present structured summaries
Required Qualifications
Bachelors degree in Business Administration Management or related field
36 years of experience as an Executive Assistant / Personal Assistant (C-level preferred)
Advanced proficiency in Microsoft Office (Word Excel PowerPoint Outlook)
Excellent English & Urdu communication skills (written verbal)
Strong command of business writing and professional correspondence
