A. POSITION SUMMARY

Under the general direction of the Chief Financial Officer with direct oversight by the Dental Operations Manager assists and serves as a supervisor for the Dental Billing Department. Activities will include overall responsibility for dental billing and collections addressing related questions and problems completing special projects maintaining patient accounts and working closely with FCCH Dental Health Center Managers in the area of reimbursement and registration. The DBS performs in an environment that includes a wide range of activities pertaining to patient registration coding and billing with the overall goal of maximizing the effective collection of accounts receivable while ensuring compliance with all state and federal billing regulations.

B. ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Oversees dental billing of patient third party and/or other programs to include:
  2. Submission of accurate dental claims to third party payers via an electronic process to maximize reimbursement;
  3. Posting/reconciling payments from third party payers to the dental practice management system;
  4. Researching and analyzing denied or delinquent payments from third party payers and self- pay patients and appropriately resubmitting claims to third party payers;
  5. Coordinating with Dental Health Center Managers on self-pay accounts for collection;
  6. Monitoring and approving adjustments made on accounts in the dental ledger;
  7. Accurately producing daily/weekly/monthly reporting utilizing the dental practice management system;
  8. Collaborates with FCCH Finance Department to insure balancing of accounts and cash reconciliation;
  9. Reviews and analyzes fee schedules in dental practice management system to assure compliance with contractual agreements and comparability in the marketplace by request of the Dental Operations Manager;
  10. Follows up on all correspondence from third party payers patients or legal entities.
  11. Maintains files for different payer sources;
  12. Manages day-to-day work of the dental billing staff and trains/mentors as required;
  13. Acts as payroll supervisor for direct reports;
  14. Completes and submits dental billing employee evaluations to FCCH HR department within required timelines;
  15. Creates a working environment conducive to group effort and organizational effectiveness;
  16. Updates dental billing manuals consistent with changes in FCCH dental billing policies and communicate changes;
  17. Conducts dental registration and billing training for designated dental staff utilizing the FCCH Revenue Cycle Management model;
  18. Works on special projects assigned by Chief Financial Officer and/or Dental Operations Manager;
  19. Functions effectively under stress to include high workload with frequent interruptions;
  20. Demonstrates organization and time management skills;
  21. Performs other job related tasks and projects as assigned;
Requirements

C. MINIMUM EDUCATION AND EXPERIENCE

  1. Associate or Bachelors Degree in business administration with an emphasis in general management accounting or finance and/or at least five (5) years experience in a dental billing capacity;
  2. Five (5) years of directly related experience may be substituted for education;
  3. Other experience including graduation from a billing and coding educational program and/or related credentials may be deemed acceptable at the discretion of the hiring officer;
  4. Experience in an electronic dental record/practice management system (such as Dentrix Dentrix Enterprise Eaglesoft or Softdent) preferred;


D. LICENSES/CERTIFICATIONS REQUIRED

  1. Certified Professional Coder (current/maintained);
  2. CPR certification within six months date of hire;


E. KNOWLEDGE SKILLS AND ABILITIES REQUIRED

  1. Familiarity of billing and collections within a Federally Qualified Health Center environment.
  2. Comprehension of mandated sliding fee discount programs;
  3. Ability to work on a variety of assignments concurrently within established deadlines;
  4. Ability to work with others in a problem solving and team environment and expected to work alongside staff as needed;
  5. Experience and proficiency with computerized practice management systems;
  6. Knowledge of skills in dental appointment scheduling insurance verification using insurance company portals managing multiple priorities and telephone techniques;
  7. Experience and proficiency with Medicaid and Medicare reimbursement rules and regulations;
  8. Billing experience in multiple reimbursement methodologies such as PPS (Prospective Payment System) FFS (Fee for Service) third party billing agreements. Including In-Network and Out of Network claims submissions and aged accounts receivable;
  9. Extensive knowledge of third party payer billing procedures;
  10. Extensive knowledge of dental procedure and diagnostic coding;
  11. Knowledge of basic accounting procedures;
  12. Ability to organize work set priorities performs multiple tasks concurrently and uses independent judgment;
  13. Lead and supervise professional staff train counsel mentor motivate and evaluate performance;
  14. Knowledge of and familiarity with compliance programs and ability to cooperate fully and comply with laws and regulations;

H. PHYSICAL CHARACTERISTICS/WORKING CONDITIONS

A person in this position has to be able to prioritize and respond to the diverse demands of the position. There are frequent opportunities to relax from any physical exertion change position in work activities or break from computer application tasks.

  1. Physical Effort and Dexterity: Good dexterity to operate personal computer and office equipment. Occasional lifting and carrying related to office duties.
  2. Machines Tools Equipment required to be operated: Capable of using office machines and personal computers for word processing data entry and spreadsheet applications.
  3. Visual Acuity Hearing and Speaking: Must be able to read a computer monitor and outputs accurately. Must be able to communicate clearly and accurately for work and safety compliance.
  4. Environment/Working Conditions: Work is mostly inside an office in a controlled environment. Normal office safety precautions and practices are required. Position requires travel through the Albuquerque metropolitan area. Work regularly scheduled Monday-Friday although weekends and evenings may be required to meet deadlines
