Job Summary
About the Role:
As the Branch Events and Operations Assistant youll play a key role in strengthening client and associate relationships and elevating our brand presence through the planning and execution of marketing events and engagement activities. This role partners closely with branch leadership and Wealth Management teams to deliver seamless events that foster connection drive brand awareness and support business objectives. Youll be the first point of contact for clients business associates vendors and recruitsgreeting guests with warmth and professionalism and ensuring their needs are met proactively.
In addition youll manage front desk operations including administrative support and office logistics. Your ability to multitask communicate effectively and maintain a polished and organized environment will be essential to your success.
The Impact Youll Make:
- Greets all visitors providing information directions or assistance as needed striving to create memorable experiences for all guests. This includes but is not limited to clients vendors new hires recruits and internal and external business associates. Escorts guests as needed.
- Receives and routes incoming calls to the appropriate destination utilizing the switchboard console always in a friendly professional manner. Collect important information and seek to assist before taking a message or transferring a call.
- Plans coordinates and arranges for the entire life cycle of meetings and branch events by handling administrative tasks and preparation work.
- Provides support to the branch including admin support miscellaneous clerical functions and other projects as requested.
- Maintains a welcoming and professional workspace ensuring the proper delivery of all items received at the reception desk and communicating guest arrival.
- Sort process and route incoming and outgoing mail.
- Order office supplies and call in repair requests for copier printers and fax machines.
- Issue outgoing checks for the branch.
- Log Compliance files. File paperwork such as wires and branch manager daily reports.
- Performs other duties as assigned.
What Youll Bring to Baird:
- Good organizational skills with the ability to prioritize monitor and complete multiple tasks either independently or with a team.
- High school diploma or GED equivalent required. Bachelors degree in hospitality Marketing Business or Communications preferred.
- Event front desk/receptionist and hospitality experience preferred.
- Excellent grammar editing and proofing skills required; attention to detail a must.
- Excellent telephone skills.
- Ability to work independently with minimal supervision.
- Ability to handle clients professionally and manage challenging situations.
- Ability to maintain regular predictable attendance.
- Ability to problem-solve and prioritize tasks and projects.
- Strong team player mentality willing to pitch in and help other team members whenever possible. Ability to identify areas for improvement and offer valuable solutions.
- Ability to maintain professional appearance and disposition at all times.
- Proficient with Microsoft Outlook Word and Excel required with willingness to learn other skills as tasks require.
