Job Summary

Join the Cerity Partners Encino team as a Front Desk Receptionist and serve as the welcoming face of a sophisticated accounting and advisory practice specializing in high-net-worth individuals family enterprises and real estate clients. This is a hybrid position requiring a minimum of 3 days per week on-site at our Encino office.

In this role you will be the first point of contact for clients and visitors managing front desk operations coordinating with internal teams and ensuring a professional and polished experience for everyone who walks through our doors. Key Responsibilities:

The Front Desk Receptionist / Administrative & Records Support professional is responsible for managing the front office area greeting visitors handling incoming calls and providing administrative CRM and document management support. This role serves as the first point of contact for clients and plays a key role in maintaining accurate client records and supporting firm operations particularly during tax season.

Front Desk & Client Experience

  • Greet and welcome clients and visitors in a friendly professional manner.
  • Answer screen and direct incoming phone calls.
  • Maintain a clean organized and professional front desk and reception area.
  • Provide basic information about the firm services and procedures.

Mail Office & Facilities Support

  • Handle incoming and outgoing mail packages and deliveries.
  • Monitor office supplies and place orders as needed.
  • Order and maintain office snacks tax season dinners and office kitchen supplies.
  • Coordinate conference room usage and assist with client appointments as needed.

Document Handling & Client Intake

  • Collect organize and intake client tax documents (W2s 1099s receipts prioryear returns etc.).
  • Prepare documents for scanning indexing and electronic storage.
  • Scan upload name and securely store documents in the firms document management system.
  • Ensure documents are accurately linked to the correct client records and follow confidentiality protocols.

CRM & Administrative Support

  • Maintain and update accurate client records within the firms CRM or practice management system.
  • Assist with client onboarding and routine data entry tasks.
  • Support internal staff with clerical administrative and basic scheduling assistance.
  • Act as a liaison between clients and internal teams for routine followups and document requests.

Key Skills & Competencies

  • Strong customer service interpersonal and communication skills.
  • High attention to detail with excellent organizational skills.
  • Proficiency in Microsoft Office (Outlook Word Excel).
  • Strong data entry skills with a high level of accuracy.
  • Ability to manage multiple priorities in a fastpaced deadlinedriven environment.
  • Ability to handle confidential and sensitive financial information responsibly.
  • Comfortable working extended hours during peak tax season.

Preferred Experience & Qualifications

  • Prior experience in a CPA firm or professional services environment strongly preferred.
  • Familiarity with tax documents and tax season workflows a plus.
  • Experience with CRM document management or practice management software preferred.
  • College degree preferred (associates or bachelors degree).
  • Prior receptionist administrative or office support experience preferred.

Work Schedule & Environment

  • Inoffice position minimum 3 days per week (preferably fulltime 5 days per week).
  • Extended hours may be required during peak tax season.
  • Professional demeanor required as a key representative of the firm.

Compensation:

$40/hr
