Job Summary
We are seeking a Clerical Support Associate to provide administrative and clerical support within a state agency environment. This role involves high-volume data entry document management record-keeping and communication with legal professionals. The ideal candidate will have experience in administrative support legal documentation and working in fast-paced detail-oriented environments.
Key Responsibilities
Provide administrative support in accordance with state agency and court protocols
Perform high-volume data entry record-keeping and document management
Maintain and organize physical and electronic filing systems
Process incoming and outgoing mail including sorting scanning and distribution
Respond to inquiries via phone email and mail from attorneys paralegals and government agencies
Assist with legal documentation and support magistrates on Rate Setting cases
Retrieve and verify information from databases and filing systems
Maintain accurate records using Microsoft Excel and Word
Ensure compliance with legal and state record-keeping standards
Perform document processing tasks such as filing faxing photocopying and scanning
Collaborate with internal teams to ensure smooth daily operations
Handle confidential and sensitive information with discretion
Required Qualifications
4 years of administrative clerical or office support experience
High school diploma or equivalent
Proficiency in Microsoft Office (Excel Word)
Experience with data entry document control and records management
Strong attention to detail and organizational skills
Excellent written and verbal communication skills
Ability to multitask and work in a fast-paced environment
Ability to work independently and as part of a team
Preferred Qualifications
Experience as a Legal Assistant Paralegal or Court Clerk
Familiarity with court systems legal procedures or state agency operations
Experience handling legal documents and case files
Knowledge of compliance records retention and documentation standards
Strong interpersonal skills for working with legal professionals and stakeholders
Experience supporting special education appeals or legal case processing (a plus)
