Qualifications:
Bachelors degree in Business Administration Office Administration or any related field
At least 35 years of experience in administrative support facilities coordination or operations roles
Strong background in documentation records management and operations coordination
Working knowledge of procurement processes budget tracking and compliance reporting
Proficient in Microsoft Office tools (Excel Word Outlook); familiarity with Facilities Management Systems (FMS) is an advantage
Highly organized detail-oriented and capable of managing multiple tasks in a fast-paced environment; demonstrates strong communication coordination accountability and a compliance-driven mindset
Preferably with relevant training in Administrative and Records Management Facilities or Operations Management and Safety Officer 2 (SO2) certification
Responsibilities:
- Oversees the day-to-day administrative and operational coordination of assigned campus/building facilities ensuring smooth and efficient operations
- Manages space utilization scheduling and parking operations (including elevated and valet systems) resolving conflicts and optimizing usage
- Coordinates with internal departments vendors and support teams to ensure readiness of facilities for academic institutional and external activities
- Monitors Facilities Management System (FMS) requests operational concerns and service performance ensuring timely resolution and escalation when needed
- Maintains accurate documentation compliance records permits contracts and operational trackers
- Prepares and submits regular operations reports including performance evaluations of housekeeping parking and service providers
- Identifies operational issues and recommends process improvements space optimization strategies and system enhancements
- Supports compliance requirements audits and institutional or large-scale events
