Job Summary
Job Description:
We are seeking a highly organized and customer-focused Administrative Coordinator to support daily operations ensure efficient scheduling and deliver excellent service to both customers and internal teams.
Responsibilities:
- Answer and manage incoming phone calls
- Schedule and coordinate routine maintenance appointments (comfort agreements)
- Confirm appointments with customers in advance
- Provide real-time updates to customers regarding schedule changes
- Communicate effectively with technicians about daily schedules
- Complete document scanning and maintain records
- Process permit paperwork and administrative documentation
- Monitor and respond to emails and mailbox correspondence
- Prepare and manage bank deposits
- Enter warranty information invoices and maintain accurate records
- Order materials and track inventory needs
- Contact customers regarding past due accounts and collect payments
- Support business growth through customer upgrades and new client acquisition
- Build strong relationships with internal teams and external customers
- Maintain and update Standard Operating Procedures (SOPs)
- Perform additional administrative duties as assigned by management
Qualifications:
- Proficiency in Microsoft Excel Word QuickBooks and Google Calendar
- Strong ability to provide timely high-quality customer service
- Proven ability to upsell products or services to existing customers
- Excellent communication and interpersonal skills
- Strong problem-solving abilities in customer service situations
- Fluent in English (written and verbal)
- Ability to manage multiple tasks and stay organized in a fast-paced environment
- Additional duties and responsibilities as assigned by management
