Job Summary/Purpose
This position will coordinate all administrative functions and provide multifaceted administrative support to department management and staff. Responsibilities typically include scheduling appointments coordinating incoming mail maintaining the calendar making travel arrangements arranging meetings etc. Responsibilities also may include running and tracking projects and programs associated with senior management administrative support accurately producing a variety of reports and presentations using the appropriate software for word processing graphics and spreadsheets preparing and/or updating functionally related reports and records developing and/or participating in special projects.
Job Duties/Responsibilities
Provide secretarial and administrative support to department manager.
Manage calendar schedule events travel arrangements expense accounts departmental meetings and arrange conference calls.
Manage correspondence and routine documents and presentations given minimal direction.
Prepare documents spreadsheets presentations interoffice correspondence and copies.
Manage administrative affairs of the department including invoice processing supply equipment procurement training records oversee departmental records retention compliance etc.
Handle multiple assignments work within deadlines and maintain confidentiality of departmental issues.
Be proactive in forwarding work issues to the appropriate managers/supervisors.
Minimum Requirements
Minimum education required of the position
Desired: Bachelors degree in a technical field (e.g. information systems accounting business finance economics etc.) or equivalent work experience.
Minimum experience required of the position
Specialist-Admin I: 0-2 years of experience
Specialist-Admin II: 2-4 years of experience
Specialist-Admin III: 4-6 years of experience
Specialist-Admin Sr: 6 years of experience
Minimum knowledge skills and abilities required of the position
Must be proficient in CIS and CCS billing systems have good knowledge of Entergys rates regulations programs and payment options and understand business processes related to Entergys regulated companies. Must have the ability to resolve process failures from several groups that touch customer accounts and be a responsible member of a team that ensures the accurate billing of Entergys electric and gas customers. Must be dependable self-motivated goal oriented organized and able to manage multiple tasks with little or no supervision. Strong computer skills required including Microsoft applications (Outlook Word Excel PowerPoint) and Entergy system applications. Must possess strong written and oral communication skills and have the ability to develop presentations including training and meeting materials. Must maintain confidentiality at all times. Thorough knowledge and demonstrated understanding and appreciation of Entergys safe work practices. Demonstrated maturity in decision making and respect of peers. Working knowledge Microsoft Office toolkit application and Entergys system applications. Excellent oral and written communication skills required as well as good analytical and organizational skills. Understand Entergys rates and regulations and programs and payment options. Understand business processes related to Entergys regulated companies. Understand Corporate programs and initiatives such as ECI Shared Values Code of Integrity etc.
Any certificates licenses etc. required of the position
Must be EEI SASS Test recommended.
