Job Summary

Reports To:Coordinator of Strategic Initiatives Attendance and Community Relations

Background CheckRequired:(Ala. Code 16-22A-5)-Upon offer of employment employees will be required to submit legible fingerprints for a background review by the Alabama Bureau of Investigation and the Federal Bureau of Investigation. Background checks may not be more than ten (10) years old.

Required Knowledge Skills and Abilities:

  1. Organizing and coordinating skills
  2. Knowledge of budgetary process
  3. Knowledge of organizational structure work flow and operating procedures
  4. Ability to keep business matters confidential
  5. Proficiency in Microsoft Word Excel Access PowerPoint Publisher and Internet Information Services.
  6. Ability to deal with people in person and on the telephone in a pleasant and courteous manner
  7. Ability to create compose and edit written material
  8. Ability to organize materials and maintain accurate records
  9. Ability to distribute documents in an efficient manner
  10. Ability to maintain and establish effective relationships within the workplace
  11. Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced intensive environment
  12. Skills in organizing resources and establishing priorities
  13. Knowledge of structure policies and procedures of a large organization
  14. Ability to coordinate and organize meetings and special events

Essential Functions:

  1. Serves as a point of contact for Student Services.
  2. Assists the districts registration manager with online registration and re-enrollment
  3. Assists with affidavits of residency for student attendance
  4. Provide assistance to Student Services as needed
  5. Coordinates facility resources applicable supplies and the necessary participants for meetings/ workshops.
  6. Collects and manages mail and faxes in an efficient and effective manner
  7. Establishes and maintains databases as required
  8. Collects data and assimilates as necessary
  9. Prepares reports and assists with projects as necessary
  10. Prepares memorandums and other correspondence as necessary
  11. Assures that policies procedures and standards are followed in accordance with local state and federal guidelines
  12. Maintains annual budgets as directed
  13. Maintains applicable electronic databases files and programs as directed
  14. Assist with website maintenance.
  15. Greets all visitors courteously determines their needs and refers to appropriate area.
  16. Answers telephone and responds appropriately to requests for information.
  17. Maintains reception area to accommodate visitors.
  18. Performs other duties as assigned.
  • This position will be subject to the Students First Act of 2011. Madison City Schools reserves the right to fill this position by transfer of a qualified applicant who is already employed by Madison City Schools.
  • Under the Students First Act of 2011 no credit toward tenure or non-probationary status is earned in the initial school year of employment if the date of hire occurs after September 30.

Expected Employment:240 days/8 hrs. (full year)

Evaluation: According to established Board policies and administrative procedures and guidelines.

Salary:According to Madison City Schools Salary Schedule (Salary based on employment for complete year). Up to 10 years experience will be counted for new employees who provide documentation of full-time experience in the area of concentration.
