Job Advert Summary

The Centralised Fuel Administrator is responsible for the accurate administration reconciliation and reporting of fuel transactions across the business. The role ensures that fuel-related financial data is accurately captured and reported in compliance with IFRS Unitrans financial policies and internal control requirements.

The role supports strong governance reliable fuel cost reporting and operational confidence by acting as a key link between operations finance suppliers and management.



Duties & Responsibilities

Fuel Accounting & Transaction Accuracy

  • Ensure accurate complete and timely recording of all fuel-related transactions including purchases issues transfers and consumption
  • Maintain accurate fuel data across operational fuel systems and the general ledger
  • Ensure consistency and accuracy of fuel transaction data in line with Unitrans accounting policies

Fuel Reconciliation & Control Management

  • Perform daily weekly and monthly fuel reconciliations between fuel systems (including Micro-Alert) depot fuel sheets supplier invoices and general ledger balances
  • Identify investigate document and resolve fuel variances within agreed timelines
  • Escalate unresolved exceptions in line with tolerance limits and governance requirements

Supplier Invoice Validation

  • Validate fuel supplier invoices against approved fuel rates contractual pricing and consumption records
  • Investigate and resolve invoice discrepancies relating to volume pricing or billing
  • Liaise with Operations Finance and Procurement to ensure accurate and timely payment processing

Compliance Governance & Internal Controls

  • Ensure compliance with IFRS Unitrans financial policies and internal control frameworks
  • Maintain appropriate approvals documentation audit trails and segregation of duties
  • Support consistent governance and control standards across all fuel-related processes

Fuel Data Integrity & Reporting

  • Maintain accurate fuel master data fuel rates and system controls
  • Load fuel rates in Sage X3 and submit for approval in Uniflow
  • Prepare fuel reconciliations variance reports and management information for Finance and Operations

Operational & Stakeholder Support

  • Engage with Operations Managers Site Administrators Finance Procurement and Compliance teams to resolve fuel-related queries
  • Ensure alignment between operational fuel usage and financial records
  • Provide guidance and clarification on fuel processes controls and reporting requirements

Audit & Management Reporting Support

  • Prepare and maintain supporting documentation for internal and external audits
  • Provide explanations reconciliations and variance analysis for management reviews and fuel investigations
  • Support audit remediation actions and implementation of corrective measures

Continuous Improvement & Risk Mitigation

  • Identify opportunities to improve fuel administration efficiency and reconciliation processes
  • Strengthen internal controls and reduce recurring variances or risks
  • Proactively identify control gaps data integrity issues or process inefficiencies


Minimum Requirements

Qualifications Skills & Experience

  • Basic Accounting (Higher Certificate) or Bookkeeping qualification
  • Up to 5 years experience in finance administration accounting support reconciliations or data integrity roles
  • Experience in logistics fleet transport or high volume transactional environments advantageous
  • Systems & Technical Skills
  • Proficiency in Microsoft Excel
  • Working knowledge of Sage X3
  • Exposure to fuel systems inventory systems or transactional platforms advantageous
  • Strong numeracy analytical and reconciliation skills
  • High attention to detail and data accuracy
