This is a remote position.
We are looking for a highly motivated and detail-oriented Intake Specialist with personal injury experience to serve as the first point of contact for prospective clients. This role is responsible for handling initial client communication gathering case details and evaluating whether claims meet the firms criteria for representation.
The ideal candidate is bilingual in Spanish and English confident in client-facing conversations and highly organized in managing follow-ups retainers and case documentation. This role plays a key part in ensuring a smooth intake process and helping qualified cases move forward efficiently.
Serve as the first point of contact for incoming leads and prospective clients
Conduct intake calls and gather relevant case information
Evaluate claims based on the firms qualification criteria
Determine whether cases meet the requirements for representation
Send retainer agreements promptly to qualified clients
Follow up consistently to ensure agreements are signed and returned
Track and manage pending retainers to maintain conversion efficiency
Maintain accurate records of client interactions and case details
Update Lead Docket and Go High Level with notes and status updates
Ensure proper documentation and organization of all intake activities
Communicate clearly and professionally with prospective clients
Build rapport while gathering sensitive and important information
Represent the firm with empathy professionalism and attention to detail
Requirements
12 years of experience in personal injury intake or a similar legal role
Bilingual in Spanish and English
Strong communication skills with the ability to handle client conversations confidently
Detail-oriented and organized with strong follow-up habits
Able to manage multiple leads and tasks in a fast-paced environment
Comfortable working US time zones
Experience working with U.S.-based law firms
Familiarity with Lead Docket and Go High Level
Understanding of personal injury processes and legal terminology
Experience in a remote work environment
Fluent in English (advanced); Spanish (intermediate to advanced) a strong plus Detail-oriented especially when working with names dates and court information Highly reliable and fast to respondable to work under deadlines Organized proactive and good at following through on tasks Comfortable using Google Workspace Excel and online court tools Prior experience in legal or medical administrative work preferred but not required (training available)
