Job Summary

Department Overview

The Supply Management division within Supply Chain & Logistics (SC&L) plays a central role in supporting OHSUs mission by ensuring essential medical supplies are available where and when they are needed. The team oversees Materials Management for Perioperative (PeriOp) services and Multi-Specialty Procedure Units (MSPU) working closely with OHSUs distributors and Warehouse operations to maintain reliable supply availability for patient care.

As the systems distribution hub the Warehouse receives stores and delivers medical and linen supplies efficiently across the Level One Trauma Center inpatient units clinics and procedure areas. Within PeriOp and Inventory Management the division manages supply inventories for South OR the Center for Health & Healing OR Doernbecher OR and all MSPU locations. Materials Management includes staff responsible for daily operational functions in these areas including Property Specialists Administrative Coordinators and Program Technicians.

Function/Duties of Position

Leadership & Administrative

  • Building and maintaining a cohesive team that includes the enculturation of the Supply Chain and Logistics Vision Mission Values and Values Proposition.
  • Plans prioritizes assigns and reviews employees work and schedules.
  • Evaluates employee performance and completes performance appraisals.
  • Evaluates and recommends discipline in accordance with the union contract.
  • Compiles success rates within the departments. Monitors Oracle requisition for supplies for accuracy.
  • This position is responsible for ensuring proper account numbers are applied staying within the established budget and adequately timing requests to prevent departments from running out of critical supplies.
  • Performs monthly reviews of invoices for timely and accurate billing.
  • Monitors invoice holds and facilitates correction for payment.
  • Assists leadership with budgeting decisions and daily maintenance.
  • Monitors and suggest cost-saving measures.
  • Monitors HIPAA violations suspicious mail and corrects misuse or abuse of department services.
  • Reviews documents and manuals for various compliance requirements.
  • This position is also responsible for recruitment which includes interviewing hiring and providing appropriate instruction and initial orientation to new employees.

Coordination

  • Provides oversight and directs the work of employees.
  • Schedules assigns and prioritizes workload tasks in a cross/shared resource environment to ensure that daily services provided to the OHSU community are completed in a timely and accurate manner.
  • Monitors freight as required.
  • Analyzes data and uses judgment to make independent decisions regarding employee coordination.

Customer Service

  • Identifies Investigates and resolves customer service issues as needed. Ensuring all customer needs are met with a friendly and knowledgeable demeanor.
  • Research and identify methods to improve and refine services provided to the OHSU community and external customers.

Process Improvement

  • Research identify communicate and implement process improvement opportunities that impact the work environment. This includes monitoring the industry for new technologies/best practices appropriate for implementation as well as working with other OHSU and outside mail centers/agencies for maximum efficiency.

Other

  • Assists staff with daily processes as needed.
  • Maintains a safe clean organized well-functioning work area.
  • Maintain a safe and effective work environment by identifying work procedures expediting workflow and preparing work schedules.
  • Assesses training needs/requirements of employees. Plans prepares and presents training for operational staff. Ensure employees are properly trained and cross-trained in departmental tasks. Monitors training compliance.
  • Access reports and respond to quality-related issues.
  • Define track and communicate performance to targets/KPIs.
  • Other duties as assigned.

Required Qualifications

  • High School Diploma or equivalent.
  • Two years of Supply Chain supervision or management experience or lead worker experience; or an equivalent combination of training education and experience.
  • Dangerous Goods/Hazmat Certification.

  • Forklift Certification.

  • Valid Drivers license.
  • Must possess and demonstrate exceptional analytical and problem-solving skills.

  • Must be customer service focused with the ability to analyze customer requirements and establish efficient methods of meeting their needs.

  • Excellent communication skills professionalism follow-through and strong team skills.

  • Must be proficient with Microsoft Office.

  • Must have strong time management skills to meet commitments and timelines.

  • Must possess and demonstrate the ability to work within an established budget as well as assist in the development of future budgets.

  • Extensive knowledge of USPS FEDEX UPS DOT CFR and IATA rules regulations and procedures.

Preferred Qualifications

  • 2 to 4-year degree specializing in Supply Chain Management.
  • Four years of supervision or management experience in a union environment.

  • Healthcare experience is a plus.
  • Proficient in the use of Kronos Oracle and other OHSU systems.
  • Computer programming skills database management accounting.
  • Valid Oregon CDL.
  • AHRMM Membership.

Additional Details

This position works onsite at OHSU Monday through Friday from 4:30am - 1:00pm in a busy environment with many interruptions multiple demands and people interactions. Must have the ability to be flexible in work schedule and be available to work on short notice.

The work environment is in a cubicle office in a warehouse or office environment and in hospital and clinic settings with exposure to patients lab experiments and other hospital-related situations as well as hot and cold weather elements and moderate noise and dust. Must be willing to travel between all OHSU satellite locations and to off- campus locations if needed. Requires work hours beyond standard office hours as required. Some travel to industry conferences site visits etc. is needed infrequently.
