Job Summary
SUMMARY:
The Human Resources Generalist is responsible for performing HR-related filing administrative tasks and assisting HR Supervisor and Director of HR. This position fulfills responsibilities in the following functional areas: HR bi-weekly tickler assists in audits verifications confirmations and follow ups.
ESSENTIAL JOB FUNCTIONS:
- Maintain all confidential employee personnel files.
- Process employee terminations and resignations in UKG Pro and ensure timely notification to Human Resources and IT Department.
- Process new hires into ICLs HRIS system.
- Update Justice Centers CBC System within 14 days of change in employment status.
- Complete the bi-weekly payroll tickler according to the HR/Payroll internal guidelines.
- Updates staffing patterns bi-weekly in accordance with the bi-weekly tickler reports.
- Send confirmation communications to employees regarding new hires and status changes.
- Maintains the People Assist database by managing the approval sharing and archiving documents to ensure accurate and upâtoâdate records.
- Monitor HR compliance requirements: Shelter staff PPD requirements.
- Assist with review of personnel files for internal and external audits; compiles reports of missing and/or incomplete items follows up to obtain missing information. Supplies the QA department with staff listings and all necessary audit documents including personnel files copies of employment and educational verifications copies of degrees if necessary.
- Conduct People Assist manager training.
- Prepare and issue employment verification letters and complete verification requests upon receipt.
- Provide administrative support to supervisors during periods of absence.
- Assists with special projects within the HRIS system.
- Performs related duties as assigned.
ESSENTIAL KNOWLEDGE SKILLS AND ABILITIES:
- Excellent communication skills including being able to manage confidential information both oral and written; use independent judgement and discretion.
- Strong work ethics attention to detail and ability to complete tasks in a timely manner.
- Proficiency with Microsoft Office applications (Word Excel Outlook).
- Must be able to learn company policies and procedures.
QUALIFICATIONS AND EXPERIENCE:
HS diploma or GED with 2 years Human Resources experience.
