Property Coordinator ( Retail)

We are looking for a highly organised and detail driven leasing coordinator to join our Property team supporting both the management of our existing portfolio and new store growth.

Property and leasing responsibilities

• Maintain and manage all lease documentation with a high degree of accuracy
• Capture track and update key lease terms including escalations expiry dates and renewal timelines
• Maintain a centralised lease schedule and reporting tracker
• Ensure all lease files are complete up to date and audit-ready
• Track progress of all new leases renewals and amendments
• Provide regular reporting to the property team on lease status and key deadlines
• Liaise with landlords regarding new stores leases renewal of existing leases and required maintenance
• Assist with sourcing potential new sites and basic negotiations with landlords
• Ensure consistent follow-ups and communication with landlords on new store leases and renewals
• Assist the property team with preparation of new store proposals and conducting research on new potential sites
• Maintain the schedule of shopping malls in South Africa and which centers have opportunities for Absolute Pets
• Assist with various administrative leasing duties as and when required

Projects Responsibilities

• Assist with sourcing suppliers where required
• Maintain project-related documentation and reporting if required
• Completing tasks assigned by project manager efficiently and on time

The ideal candidate should have the following skills and characteristics:

• Experience within retail leasing is adventageous
• Exceptional attention to detail
• Highly organised and structured
• Proactive and solutions orientated
• Confident communicator with ability to engage professionally with external landlords
• Strong sense of ownership and accountability
• Able to work in a fast paced growth focused environment
• Strong proficiency in Microsoft 365 and document management systems
