Job Summary

Position will be open until filled.

We are currently seeking:

A Social Services Assistant to join our this role you will perform a variety of administrative and clerical support functions on behalf of the Citys WIC Program; respond to program inquiries and provide customer service to the public; screen and verify the eligibility of program applicants; explain and issue benefits cards to program participants; prepare and maintain participant records; and perform other related duties.


Job Responsibilities:

  1. Screens WIC applicants for valid proof of identity residential address income custody and other frames of eligibility verification.
  2. Operates a computer terminal utilizing the paperless Texas Integrated Network (TXIN) software entering and retrieving data and interpreting and responding to computer messages.
  3. Follows the Texas Department of State Health Services WIC policies and procedures.
  4. Must complete trainings throughout the year to comply with HHSC rules and regulations.
  5. Accesses the Mosaic Help Desk for changes or issues with participant computer data as needed.
  6. Monitors operation to identify and resolve issues.
  7. Follows WIC State Agency computer processing procedures.
  8. Operates peripheral electronic devices i.e. EBT Reader/Writer to download food benefits electronically to the Texas EBT WIC card.
  9. Issues and instructs participants regarding the use of their WIC EBT card.
  10. Explains the different benefit food packages to applicants and informs them of the WIC allowable foods.
  11. Answers a large volume of incoming calls.
  12. Monitors operation of the EBT Reader/Writer to identify and resolve issues.
  13. Receives and dispenses communications per fax telephone and sees a large amount of individual walk-ins with inquiries and/or random requests for information.
  14. Refers individuals to the appropriate health care resources and to other agencies for further information and assistance.
  15. Prepares reports.
  16. Responsible for participant reminders and missed appointments.
  17. Must maintain client confidentiality.
  18. Communicates all evidence or suspicion of fraud or child abuse to the appropriate authorities immediately.
  19. Responds to inquiries regarding WIC clerical policies programs and eligibility requirements.
  20. Schedules and coordinates participant/applicant appointments.
  21. Provides individuals with referrals to other resources and/or agencies.
  22. Hours: Monday-Thursday 7:00am-6:00pm and the first Saturday of the month 8:00am-12:00pm as needed.
  23. Participates in WIC outreach activities as assigned which might take place outside of normal hours.

Requirements and Skills:

  • Must be able to type a minimum of 35 wpm.
  • Answering a large volume of incoming calls greeting visitors and providing optimal customer service.
  • Responding to inquiries regarding program services policies and eligibility requirements.
  • Required skills in performing a variety of clerical and administrative functions in support of the WIC program.
  • Must be able to support a womans decision to breastfeed.
  • Screening applicants verifying applicant eligibility and issuing benefit cards to program participants.
  • Performing accurate data entry and preparing updating and maintaining case information.
  • Establishing and maintaining cooperative working relationships with other staff outside agencies clients and the general public.

MINIMUM QUALIFICATIONS:

Education and Experience:

High School Diploma or equivalent; and one year general office experience; or an equivalent combination of education and experience. Bilingual preferred. Must be able to travel to satellite clinics as needed. Must be able to work Monday through Thursday 7:00 am to 12:00 pm and 1:00 to 6:00 pm; and the first Saturday of the month from 8:00 am to 12:00 pm.


Required Licenses or Certifications:

  • Must possess a valid Texas Driver License.
  • Applicants with an out-of-state driver license must provide an original certified driving record from the state of driving licensure.
  • Typing test required.

Required Knowledge of:

  • Department operations policies and procedures.
  • General office equipment and standard computer software applications.
  • Customer service standards and protocol.
  • Maintaining client confidentiality.

Physical Demands / Work Environment:

  • Work is performed in a standard office environment.
  • Subject to sitting standing walking bending reaching and lifting objects up to 20 pounds.
  • Exposure to infectious diseases and potentially irate members of the public is involved.
