Note: This position will primarily report to the Paramus office but will be expected to float to the Montvale office to cover planned / unplanned PTO or if additional support is required on high volume days.

Position Overview
We are seeking a detail-oriented Medical Secretary to provide administrative and clerical support to the Medical Staff leadership team. This role involves coordinating meetings managing communications maintaining records and supporting various medical staff functions to ensure efficient departmental operations.
Key Responsibilities
Provide administrative support to Medical Staff leadership including coordination of meetings and documentation
Schedule and coordinate department meetings committees and program-related activities
Prepare meeting agendas attend meetings as needed and produce accurate meeting minutes
Distribute correspondence and follow up on action items from meetings
Maintain attendance records and documentation for medical staff meetings
Prepare and distribute on-call schedules and communicate updates
Manage physician mail distribution and maintain mailbox listings
Handle incoming and outgoing communications including phone calls and messages
Coordinate document preparation duplication filing and distribution
Maintain office supplies and submit requisitions as needed
Provide backup support to other administrative staff as required
Perform additional administrative duties and special assignments as directed
Required Qualifications
High School Diploma or equivalent
Minimum 4 years of secretarial or administrative experience (or equivalent combination of education and experience)
Proficiency in PC office software (e.g. Microsoft Office Suite)
Strong organizational and multitasking abilities
Excellent written and verbal communication skills
Preferred Qualifications
Prior experience in a healthcare or hospital setting
Education or training in secretarial sciences or related field
Knowledge of medical terminology
Additional Requirements
Ability to work independently and manage multiple priorities
Strong attention to detail and accuracy
Professional demeanor and ability to handle confidential information
