About the Role

The ideal candidate will be experienced in handling a broad range of executive support-related responsibilities and can work independently with little or no supervision. This person must be flexible yet results driven. They have outstanding organizational and project management skills and enjoy the administrative challenges of supporting a legal team. Excellent written and verbal communication skills strong decision-making ability and attention to detail are equally important. Confidentiality is crucial to this role.

What You Will Do

The ability to interact with Lifestyles legal team and business stakeholders including executives in a fast-paced environment under pressure with changing priorities and deadlines remaining adaptive proactive resourceful and efficient with a high level of professionalism and confidence. The primary responsibilities of this position are to consult assist and coordinate with in-house and outside counsel on all aspects of contract management including review; responding to third party inquires; overseeing all legal logs and updates. Additionally you will research gather and compile materials; draft and revise correspondence and other legal documents; and review invoices and manage legal costs.

Manage Lifestyles legal log matters and dashboards

Manage legal holds for Lifestyle in the ZDiscovery platform.

Maintain legal files.

Supervise outside law department billing and related matters including review of legal invoices for completeness ensuring compliance with Harmans billing guidelines and reconciling invoices in Harmans billing system.

Oversee implementation of contracts through contract life cycle

Manage contract extensions modifications and terminations.

Work with compliance team for distributor validation and clearance

Maintain and organize records and legal logs

Perform diverse and complex legal tasks within specialty in liaising between Harmans attorneys and internal clients concerning agreement compliance litigation and other questions and inquiries including supporting signature requests.

Oversee projects and initiatives as assigned time to time including administrative support to the Lifestyle Legal department to include but not limited to:

o Review mail and notices received and timely distribute to appropriate legal team members

o Acknowledge and forward legal and government notices

o Manage travel bookings and arrangements and preparing and tracking travel and entertainment expense reports

o Perform all general administrative duties for the department including copying scanning mailings invoice processing and reconciliation

o Create and edit PowerPoint presentations and other documents including financial reports.

What You Need to Be Successful

Bachelors degree or equivalent

Minimum of eight (8) years of previous experience as a corporate paralegal in a corporation or large or mid-sized law firm.

Paralegal certificate (preferred).

Advanced proficiency in Microsoft Office specifically with Excel PowerPoint Outlook and Word.

Experience with database management and reporting.

Comparative analytics experience (preferred).

Expertise in Zdiscovery Exterro Qlik Sense Legal Tracker (Serengeti) or GEMS (preferred).

California or Texas registered notary public a plus.

What Makes You Eligible

Willingness to travel 5% of the time.
