The Reference Testing Coordinator position serves to support laboratory management laboratory technologists/technicians and hospital staff in duties that encompass reference laboratory testing. The Reference Testing Coordinators duties are necessary to produce quality patient results. Reference Testing Coordinator manage both pre-analytical and post-analytical workflow of samples sent offsite for testing. This includes physical preparation of samples for shipment packaging samples evaluating the acceptability of samples monitoring pending lists and uploading reports.Job Description:
Essential Functions:
Under the direct supervision of a Medical Technologist the Reference Testing Coordinator performs the following:
- Properly prepares and accurately identifies samples for laboratory testing
- Evaluates orders for possible issues (e.g. duplicate orders) and clarifies requests
- Accessions and processes samples per policy
- Coordinates testing performed at over 20 clinical laboratory vendors
- Orders appropriate requested test(s) in LIS and/or through reference lab portal
- Track samples sent out and monitor for results
- Coordinates approval of test requests with pathologists
- Reviews communications daily from reference laboratory for critical testing information
- Accurately reports patient results in the Electronic Health Record (EHR)
- Performs clerical duties needed for the department (includes accessing information in the EHR filing reports/slides/specimens answering phones tracking specimens monitoring fax machine)
- Manages sample logistics and transports specimens daily to appropriate locations
- Troubleshoots send out testing delays or issues including LIS communication and shipping delays
- Maintains portal access for all required reference laboratories
- Completes research of reference laboratories and suggests appropriate laboratory options needed for esoteric testing
- Communicates research and investigation details clearly and accurately to medical directors lab administrative directors the test send out manager and ordering physicians
- Accurately document in LIS order information and notes pertaining to samples
- Builds electronic manifest and transmits samples accordingly for interfaced reference laboratories
- Compile utilization data and other statistics as requested by supervisor/manager
- Coordinates with other UofL locations necessary sample processing shipment of samples or storage of samples
- Controls inventory ordering and supplies to maintain adequate stock
- Maintain expertise of internal and reference laboratory test menus
- Compiles and reviews QA data for manager review
Other Functions:
- Identifies and reports any safety hazards or concerns
- Review for regulatory compliance in all policies processes systems and procedures
- Suggests need for improvement of policies and procedures
- Attends meetings with laboratory management and reference laboratory representatives
- Performs teaching and training duties of position to staff and employees
- Develops and assists in writing training guides and standard work documents
- Assists in setting up new Charge Description Master (CDM) numbers for testing
- Adjusts test charges as needed including applying manual charges
- Works to resolve ordering and billing issues
- Complies patient reports as needed (e.g. tumor board review)
- Coordinate releasing patient reports and
- Maintains compliance with all company policies procedures and standards of conduct
- Complies with HIPAA privacy and security requirements to maintain confidentiality at all times
- Performs other duties as assigned
Job Requirements
(Education Experience Licensure and Certification)
Education and Experience:
- High school diploma or GED/Equivalent (required)
- Associate degree or 2 years of completed college coursework OR
5 years of experience in a clinical laboratory (Required)
