JOB SUMMARY

Under the general direction of the Director of Enrollment Management the Admission Operations Specialist is responsible for a variety of database management customer service administrative and clerical duties necessary to the daily operation of the Admission Office.

ESSENTIAL FUNCTIONS

  • Manages the full cycle of process of prospective family from inquiry/prospect to applicant to admission decision and enrollment within the Schools core database Veracross.
  • Manages correspondence with prospects through Veracross email composer and publishing of admission decisions.
  • Assists families with completion of application requirements via reminders; prepares complete application files for committee review.
  • Welcomes students and their families to the Admission Office. Learns about people and programs to effectively answer the main phone line for the Admission Office with excellent customer service.
  • Prepares and processes applications before and after admission interviews.
  • Ensures database integrity through regular data audits elimination of duplicate records and integration from Standard Application Online (SAO).
  • Designs queries and exports to generate reports related to application and enrollment statistics student body demographics and mailing lists.
  • Coordinates tracks and monitors all relevant budgets associated with the Admission Office and processes invoices with the Business Office.
  • Assists with administrative details in preparation for Admission events; assists with day-of execution of events.
  • Assists the Admission Office members with visit/tour days as needed including making confirmation phone calls preparing name badges and greeting visitors.
  • Assists with research projects.
  • Manages admission testing events and materials and occasionally proctors admission tests for applicants.
  • Represents the Admission Office in a wide variety of circumstances continually requiring poise tact diplomacy and sensitivity.
  • Works with a diverse group of guests parents and employees in a pleasant professional manner.
  • Manages inventories and orders of admission supplies and maintains the office workroom.
  • Assists with the daily operation of the mailroom in Olson Hall; assists with large mailings ordering postage maintaining supplies and maintaining copier.
  • Other projects and responsibilities may be added at the Schools discretion.

JOB REQUIREMENTS AND QUALIFICATIONS

  • Requires a combination of education and experience equivalent to 5 years of administrative experience. College degree preferred.
  • Strong proficiency and ability to quickly learn in a variety of software applications including word processing spreadsheet database presentation and email.
  • High level of interpersonal skills and ability to handle sensitive and confidential information.
  • Proven ability to multitask with a very high level of output in a fast-paced environment.
  • Ability to apply common sense understanding and to carry out instructions furnished in written or oral form. Ability to ascertain which people may need immediate assistance and to act accordingly.
  • Analytical ability is required in order to gather and summarize data for reports find solutions to various administrative problems and prioritize work.
  • Ability to establish effective working relationships with coworkers to accomplish objectives successfully.
  • Willingness to work additional hours when needed.
  • Must enjoy working with children and young adults.

OTHER INFORMATION

  • A criminal history and background check are required and must be successfully completed.
  • Regularly sit talk hear and visually intercept visitors.
  • Regularly use close and distance vision.
  • May work at a desk and computer for extended periods of time.
  • Turn bend reach and occasionally use a step ladder.
  • Generally works in standard office conditions and climate.
