About the Department

Residence Life provides a living-learning community in well maintained downtown facilities designed for the student artist. Student and Professional staff engage in community development offer fun & educational events and programs connect students with campus resources and provide 24hr on call support.

About the Position

The Residence Life Assistant Early College Program Summer Institute is responsible for supporting high school aged students participating in the Early College Program Summer Institute who live in one of SAICs co-educational high-rise residence halls. This position supports the co-curricular portion of this overall experience. Responsibilities include but are not limited to providing support to students who are experiencing conflict illness or distress; assisting with mandated City of Chicago curfew; office management supporting Jones Hall Move In & Move outs and administrative functions. The position reports directly to the Assistant Director of Residence Life for Education and Training. This position is 35 hrs a week in person with two-three evening shifts (2:30pm-10:30pm) per week. Weekend commitments should also be expected. Optional on campus housing available at no cost.

Responsibilities

Student Support
  • Provide support for ECPSI students including facilitating communication between student family and SAIC staff
  • Respond to facility issues and address community relation concerns
  • Respond to minor mental and physical health concerns & other distressed students
  • Consistent communication with Professional Staff On Call during crisis/emergency situations is expected
  • Maintain accurate reports using Symplicity Advocate Software
  • In collaboration with Residence Life Professional Staff & Continuing Studies staff offer care and support to students who are not in class due to illnesses including checking in with students about their overall health communicate students well-being with other staff assist students with obtaining items that are needed and connect with families about students needs.
Community Development
  • In collaboration with Residence Hall Director provide direction to Summer Resident Advisors (Summer RAs) to develop programs for high school students including assisting with scheduling ensuring proper forms are completed creating marketing planning for materials needed etc.
  • Provide programming for Summer RAs and ECPSI students
Curfew Management
  • In collaboration with Residence Life Professional Staff & Summer RAs ensure that every ECPSI student meets curfew expectations
  • Create real time plans for finding students who have not checked in for curfew that includes phone calls room checks speaking with other students etc.
Online Forms & Email
  • Manage ECPSI/Residence Life email regarding ECPSI responding in a timely and accurate manner
  • Create update and implement google forms to collect information from ECPSI students upon move in & ongoing
  • Update shared spreadsheets with Continuing Studies and Admissions Staff to share pertinent information
  • Ensure Summer RAs are completing programming forms in Engage properly and in a timely manner
Office Management
  • Assist Hall Director in managing the overall front desk system including package database package system roster management and front desk staff training
Facilities Management
  • Ensure building(s) is prepped before each move in by Summer RAs including ensuring correct furniture counts per residence hall room proper placement of furniture and basic room prep is accomplished
  • Walk buildings to ensure all expectations are executed and identify facility issues that need to be addressed
  • Supply necessary information and supplies in a timely manner so Summer RAs can accomplish tasks
  • Prepare supplies so Summer RAs can execute room prep properly
  • Partner with facilities staff to ensure rooms are being cleaned in a proper and timely manner
  • In collaboration with other staff ensure bulletin boards door decorations room prep and preparation for move in
Manage Residence Hall Move In/Move Out
  • Coordinate ECPSI move-in and move-out processes
  • Update and implement logistics plan and communicating with residents residence hall staff other departments (Security Operations) about their role
  • Prepare appropriate electronic and physical documents
  • Collaborate with other Residence Life Assistant Early College Program Summer Institutes to facilitate move ins & move out
Administrative Support
  • Provide Administrative support to Residence Life including data collection filing emails & phone calls etc.
Student Issues
  • Identify personal and emotional concerns of students; inform appropriate staff in a timely manner; document situations and share appropriately;ensure students privacy is kept confidential at all times
Communication
  • Maintain regular contact with appropriate resources to ensure effective operation of residence hall; communicate facility issues to appropriate areas in a timely fashion; communicate student issues/crises; respond to parental communication as appropriate
  • Other Duties as Assigned

    Qualifications
    • Bachelors degree
    • 1 years of experience in Res Life and project coordination preferred
    • Effective communication skills
    • Ability to work with diverse populations including multicultural experience cross-cultural communication skills and the ability to create and promote an inclusive community
    • Demonstrated collegiality and leadership ability
    • Proficiency in Microsoft Office Suite and Google Suite

    Physical Requirements

    • Prolonged periods sitting at a desk and working on a computer
    • Move to other buildings on campus for meetings and programs; occasional standing requirements include facilitating programs move-in and move-out orientation and other large-scale events
    • Occasionally moves about inside the office to access file cabinets office machinery etc.
    • Constantly operates a computer and other office productivity machinery such as a copy machine and printer.
