Job Summary
The Nursing Office Coordinator supports the daily operations of the nursing staffing office at Trinity Homes by coordinating schedules maintaining accurate records and facilitating clear timely communication between nursing leadership and staff. This role helps ensure efficient staffing processes through precise data entry proactive problem-solving and responsiveness to unit and organizational needs. Working closely with the Director of Nursing and nursing leadership the Coordinator serves as a key administrative resource that supports smooth workflow and operational consistency. This position functions within a collaborative service-oriented team environment that values organization dependability and professionalism. The role enhances overall nursing department efficiency by promoting strong communication reliable support and excellent customer service.
Key Responsibilities:
- Coordinate daily staffing assignments schedule changes and communication to ensure adequate coverage across nursing departments.
- Maintain accurate records databases and documentation related to staffing attendance and departmental operations.
- Serve as a primary point of contact for nursing staff regarding scheduling inquiries policy information and office procedures.
- Support nursing leadership with administrative tasks such as report preparation correspondence and meeting coordination.
- Utilize electronic systems and Microsoft Office tools to complete data entry generate reports and manage schedule updates.
- Collaborate with the Director of Nursing and management team to support efficient workflow problem resolution and process improvement initiatives.

Educational Requirements:
- High school diploma or equivalent preferred.
Experience Requirements:
- Experience working in a health care setting/nursing home preferred but not required.
- Knowledge of medical terminology.
- Computer experience required especially Microsoft Office.
Special Skills or Training Requirements:
- Good organizational and interpersonal skills.
- Flexible with day to day working routine.
Physical Requirements:
The Nursing Office Coordinator performs work that involves frequent sitting data entry and use of a computer along with periods of standing walking and moving throughout the facility. The role may require occasional lifting or carrying of light materials such as files office supplies or scheduling documents. Adequate vision hearing and communication skills are essential to manage detailed work interact effectively with staff and respond to frequent interruptions.
Environmental Requirements:
Work is carried out in an office environment within a long-term care facility with routine interaction with nursing staff residents and other departments. The Coordinator may be exposed to typical healthcare setting conditions including noise frequent activity and occasional proximity to resident-care areas. Adherence to confidentiality safety protocols and infection-prevention practices is required when working within and around clinical units.
