A leading global law firm is seeking an experienced and detail-oriented Conveyancing Secretary to join its Cape Town office. This role offers the opportunity to work within a high-performing conveyancing and real estate team supporting conveyancers and development secretaries on a range of property transactions.
Key Responsibilities
Provide administrative and clerical support to conveyancers and transfer & development secretaries
Open and manage files on conveyancing and practice management systems
Maintain accurate electronic and manual filing systems
Prepare basic correspondence legal documents and standard forms under supervision
Assist with transfer development and notarial documentation
Perform document checks to ensure completeness and compliance before submission
Liaise with clients estate agents and third parties to obtain outstanding information
Monitor and update internal tracking systems and ensure adherence to deadlines
Handle courier arrangements document collections and deliveries
Assist with diary management scheduling and follow-ups
Support FICA FATCA and client onboarding compliance processes
Assist with financial aspects of transfers including:
Verifying guarantees
Drafting guarantee requests
Billing and preparing pro forma and final statements
Attend to investment of purchaser funds and related administrative processes
Maintain strict confidentiality of client and transactional information
Collaborate effectively within a team and assist during high workload periods
Minimum Requirements
Grade 12 (Matric)
Secretarial or Administration Certificate/Diploma
Minimum 4 years’ experience as a Conveyancing Secretary
Solid understanding of property transfer processes
Experience with conveyancing systems (CMS or similar) advantageous
Proficiency in Microsoft Office (Word Excel Outlook)
Strong command of English (verbal and written)
