Hong Kong Supply Chain Specialist

We are looking for a Hong Kong Supply Chain Specialist to join us in our IC Market Supply Operations team based in our Hong Kong office

About the role

This position is primarily accountable for maximizing Supply Chain performance in Hong Kong. Achieving target service levels improving cost-to-serve and delivery of key product launches are the success criteria in meeting market needs.

This position must set direction for local supply chain that is aligned with global strategy create and maintain effective relationships with local commercial leadership and ensure strict compliance with internal standards as well as external regulations.

Key responsibilities include: building competency and expertise implementing best-practice core SCM processes (i.e. demand forecasting SIOP/demand meetings) ensuring transparent and rapid flow of critical issues/risks to key Global Supply Chain stakeholders continuous improvement/optimization of network performance (i.e. working capital levels distribution costs) active engagement in risk-management efforts to mitigate supply interruptions/losses and effective management and delivery of key projects/initiatives. This position is primarily accountable for maximizing Supply Chain performance in

Hong Kong. Achieving target service levels improving cost-to-serve and delivery of key product launches are the critical success criteria in meeting market needs.

What youll do

  1. Demand Management
  • Develop forecasting excellence adding local market expertise and ensuring local business alignment via regular SIOP / IBP meetings with appropriate local stakeholders: Sales Marketing Regulatory Finance QA
  • Maintain UCB forecasting tool considering monthly collaboration calendar set at Global level
  • Coordinate Supply Chain aspects of phase in phase out products new product launches (incl. support to business case submissions and transfer price requests) (early) patients programs or tenders

2- Inventory Management

  • Ensure local inventory management process is implemented according to group policy and rules (safety stock material review board process)
  • Manage and control inventory to secure an appropriate stock level in the country and consequently prevent out of stock situations or excessive inventory
  • Coordinate import/export transactions and release of products (temp loggers deviations release)
  • Support recall activities of products from the market together with Global Supply Chain local QA local RA local Business.
  • Coordinate write-offs

3- Local Vendor Relationships Management

  • Manage local vendors (3PL Customs broker) according to guidance provided by UCB External Network Governance by acting as External network Vendor Manager and ensuring that service is compliant with agreements in place
  • Collaborate to negotiation and update of business agreements
  • Manage risk assessment for local vendors and ensure that any required corrective/preventive actions are implemented in a timely manner
  • Evaluate and implement improvement and cost reduction initiatives
  • Review and control of 3rd party providers invoices

4- Systems & Global Tools

  • SAP SD module: As local Key User (LKU) daily monitoring of the 3PL interface reports follow new product codes creation
  • Perform contribute to monthly SAP closing activities & any local reporting needed
  • Coordinate the relationship between Global IT Global Key User (GKU) and 3PL to reach system fixing or processes amendments if/when needed
  • Maintain vendors and customers details updated and make sure they match in SAP
  • Ensure business continuity

5- GMP/GDP Compliance Management

  • Support Quality and ensure compliance (new GDP falsified medicines)
  • Ensure UCB Affiliate and partners (3PL Customs broker) comply with all GMP/GDP Regulations
  • Creation/updating of SOPs of the area

6- Reporting and KPI

  • Prepare or/and monitor internal KPIs (product availability days out of stock obsoletes OTIF forecasting accuracy) and report to group (timely-correct and complete)
  • Identify improvement opportunities in the areas of quality cost and service for the local SC function

7- Projects

  • Support local projects (Business development reporting to Authorities) on top of global (Supply Chain Tax Business development) ones

8- Others

  • Manage Customer Service/O2C activities/Tenders management
  • Taking part in the management and resolution of complaints and deviation cases
  • Manage day-to-day actions for products for which a stock allocation scheme is active (implement and monitor allocation decisions)
  • Respond to the Finance Team and external provider queries
  • Collect and provide required documents to the auditor
  • Act as a member of the Local Change Control Committee (CCC)
  • Supervise drive & deliver on time 2nd distribution budget cycles preparation according to the Global Supply Chain Finance guidelines for the regional market scope whilst providing best quantitative qualitative optimal & accurate insights monitoring with relevant affiliates stakeholders & facilitating with GSC finance.
  • In routine pilot & secure cost to serve adherence whilst being point of alert & proactively support any possible actionable mitigation if deviating
  • Secure in-market Business continuity & respective back-up orchestration implementation across in-Market operations &/or actively mitigate any risks detected that may impact (Supply Chain manual update)

Interested For this role were looking for the following education experience and skills

More than 5 years of experience in Supply chain management (Planning distribution or other relevant functions) International Pharma/Healthcare Industry as an advantage although related sectors or other fields can also be considered.

Languages: Mandarin English

Good knowledge of supply chain and GDP/GMP concepts within the Pharma/ Healthcare industry is a plus

Excellent communication (oral and written) and influencing skills

High level of organizational skills and ability to balance multiple priorities

Ability to work with minimal supervision and as part of a team

Patient and customer focused approach to all activities

Ability to solve issues in an efficient and compliant way

Ability to collect analyze and act on data to allow better decision making

Project/process management skills

Continuous improvement mind-set

Proficient in Microsoft Windows in particular Microsoft Office (PowerPoint Excel and Word) digital tools

Experience in database management and SAP SD MM PP SAP H4Hana is a plus
