As part of the Executive Team (ET) Directors General are along with the Permanent Secretary the most senior leadership team for the Scottish Government and the successful candidate(s) will take up duty as an Assistant Private Secretary in an ET support office providing support to the Permanent Secretary or Directors General (DG).
Working in the Office of the Executive Team this role provides an unprecedented opportunity to work with Directors General Executive Team and Cabinet Secretaries as well as various internal and external stakeholders. You will learn more about how the Scottish Government works in particular the role of the Executive Team and their function in delivering for Scotland.
You will join a developing Division at a pivotal time as we refresh and improve the roles and responsibilities of our DG office teams building an effective and efficient operating model to provide high quality business management support and advice to the most senior leaders in Scottish Government.
ResponsibilitiesResponsibilities
- Working with the Private Secretary to manage the principals diary and ensure they have the information they need for a busy schedule of meetings and other tasks.
- To continually review how the diary is operating to ensure the DG or Permanent Secretary are spending their time effectively to meet priorities. This will involve honest and sometimes challenging conversations with stakeholders and/or DG and Permanent Secretary to make the best use of their time. You will also contribute to strategic reviews of the diary with the wider team.
- Liaising closely across DG families including Public Bodies and stakeholders to support the principals to prioritise and be fully prepared for their meetings and other interactions they with colleagues in SG Ministers and wider.
- Supporting the B2 Private Secretary in managing the inbox dealing effectively with emails handling these in line with the preferences and prioritising items as required.
- Strong interpersonal skills with the ability to build collaborative relationships within own team across the Organisation and beyond.
- Responsibility for booking travel and accommodation for the principals and providing general admin support to the team through the use of EaseBuy.
