Job description

Your tasks would be...

  • Keeping the office running smoothly and creating a structured organized and welcoming environment

  • Taking full ownership of office operations including supplies infrastructure and vendor coordination

  • Acting as the main on-site contact for team members and guests

  • Preparing and coordinating high-level meetings and interviews especially with external partners and acting as the on-site host

  • Supporting onboarding processes and creating practical easy-to-use materials including AI-supported tools

  • Supporting the Managing Directors by owning travel planning logistics and calendar coordination

  • Planning and organizing team events and activities that foster collaboration (without this being the core focus)

  • Supporting teams in a hands-on and solution-oriented way across day-to-day operations

  • Identifying inefficiencies and improving processes to make daily operations smoother and more scalable

Job requirements

You will fit well when you

  • Have proven experience in office management facilities coordination or similar administrative roles

  • Demonstrate excellent organizational skills strong attention to detail and the ability to multitask

  • Enjoy bringing structure into messy or fast-changing environments

  • Show exceptional communication and interpersonal skills with a friendly and approachable attitude

  • Bring a hands-on mentality and a strong solution-oriented mindset

  • Possess excellent German and English language skills
