Job Summary
ADMINISTRATIVE ASSISTANT
Thisadministrativeposition is assigned to theAllegheny CountyDepartment of Human Services(DHS) Office ofDevelopmental Supports (ODS).Responsibilitiesinclude management of the front deskincoming and outgoing mailscanningand filingelectronicrecordsordering suppliesand supporting all teams and supervisors in daily position reports to theUnit Manager.
DUTIES AND RESPONSIBILITIES
Reception:Greet visitors andstaff providing a welcoming and professional of front door and receptionarea.
Correspondence & Communication:Answerdirect phone calls manage email inquiries and handle outgoing/incoming mail.
Calendar Management:Schedule meetings appointments and travel arrangements for staff andmanagement.
Meeting Support:Book meeting rooms prepare agendas and takeaccurateminutes during meetings.
Documentation:Draft format and editlettersmemos reports and other documents.
ElectronicRecords:Retrieve and organize documents ensurefiles areuploaded labeled correctly anddisseminatedtoappropriatestaff.
DataTracking:Assiststaff with trackinginformation in Excel data entryanddata and compile data fromonlinewebsites.
OfficeAdministration& Supplies:Monitor inventory levels order supplies andmaintainoffice equipmentincludingrestockingand troubleshooting printer/ staff workstation concerns including setting up monitors and creating Service Desk and IT trackingstatusofmaintenance concerns.

ESSENTIAL REQUIREMENTS
Act 3334andFBIClearances.
Avalid Pennsylvania motor vehicle license access to a personal vehicle and auto insurance on an employee driven vehicle.
Strong interpersonal skills and oral and written communication skills.
Ability to work independentlyon assigned tasks.
Highproficiencyin Microsoft Office Suite (Word ExcelPowerPointand Outlook).
Full-timeposition requiring40hoursperweekMonday-Friday business hours.
EDUCATION AND EXPERIENCE
Bachelors Degree in business-related field or3years experienceinexecutive secretarialor assistantrole. Experience inoffice managementpreferred.
This position will be formally employed by Human Services Administration this capacity the individual will report directly to Allegheny County Department of Human Services and will carry out day-to-day responsibilities under the direction supervision and operational guidelines of the Allegheny County Department of Human Services. While Human Services Administration Organization will serve as the official employer for administrative and human resources purposes the role will function as an integrated part of Allegheny Countys team.
