Position: Clerk Specialist (40 hour/12 month) OSE IEP

The Office of Student Services (OSS):
The Office of Student Services (OSS) is responsible for providing a variety of supports and services to students in Cambridge Public Schools (CPS). Our programs are dedicated to ensuring equitable access and success for students with disabilities and students who have advanced learning needs.
The Opportunity:
The Clerk Specialist is responsible for enhancing the Office of Student Services operational effectiveness by providing information management support. Reports to the Fiscal and Operations Manager.
Key Responsibilities:
- Preparation of referrals re-evaluation requests and parental requests for evaluation within compliance timelines
- Generation of evaluation consents (tracking assigning etc)
- Processing IEPs to monitor compliance
- Set up transfer IEPs for students who move into the district
- Respond to telephone requests and emails for information in a timely and courteous manner.
- Cross-train tasks to support workflow in the department
- Manage our digital document filing system and train new staff on the use of this system
- Support the Executive Director of Special Education with DESE compliance reporting
- Other duties as assigned by OSE Administration
Your Skill Set:
As the incoming Clerk Specialist you will possess many though perhaps not all of the following characteristics and qualifications:
- BA preferred or equivalent experience
- Proficient in the use of Microsoft Office and the Google Suite
- Use of other school and special education data management systems required (primarily Aspen)
- Familiarity with the Special Education process
- Ability to communicate effectively verbally and in writing with the community staff and professional contacts
- Ability to produce accurate and thorough work
- Ability to analyze issues and provide effective problem resolution
- Excellent customer service and telephone/e-mail communication skills
- Ability to work independently and prioritize tasks to meet internal and external compliance deadlines
