Key Responsibilities of this role

  • Managing the work of the Director by prioritising researching and creating work schedules that support the most effective way for them to work.
  • Acting as secretariat and drafting agendas minutes and supporting information to ensure meetings operate smoothly.
  • Supporting the Business Manager to carry out administrative duties on behalf of the director (and wider directorate) including reporting purchasing and other business support tasks as required.
  • Preparing for meetings and events ensuring they are well organised and effective.
  • Triaging queries responding and drafting responses on behalf of the Director liaising with staff across their teams to ensure timely and appropriate responses (taking into account your knowledge about their work and commitments)
  • Finding solutions to problems and situations liaising with stakeholders and organisations to foster good working relationships organising events meetings groups and knowledge sharing and learning.
  • Development and support of internal communications to help support the work of the Director and the wider directorate.
  • Support the Business Manager with People Plan Delivery.


Key requirements of the role:

Essential:

  • Experience of proactively managing diaries of senior leaders and the ability to schedule meetings at the right time and right place ensuring information attendees and supporting paperwork is correct.

  • Advanced knowledge and experience of using Microsoft packages (Excel PowerPoint Word Sharepoint Teams etc).

  • Ability to prioritise competing tasks and work independently.

  • Excellent written communication skills.

  • Demonstrable experience of self-motivating with the ability to show initiative and use your own judgement.
