8 hours per day/200 workdays per year

Shift time is subject to building needs.

Start will be the 26/27 School Year

SECRETARY II:Performs a wide variety of secretarial clerical and bookkeeping duties using independent judgment within generally defined methods practices and procedures.

Position Overview:
The Elementary Building Secretary (Secretary II) is a vital part of the school team supporting the daily operation of an elementary building by ensuring smooth administrative functions and providing a welcoming organized and responsive office environment. This role requires exceptional organizational skills attention to detail and a friendly child-centered approach to communication. The secretary serves as the first point of contact for students staff parents and visitors and plays a key role in maintaining a safe and supportive school environment.

QUALIFICATIONS

  1. High school diploma or equivalent; additional education or training in office procedures accounting or child development is preferred.
  2. Prior experience in a school office setting especially in an elementary school is highly desirable.
  3. Strong communication skills and a demonstrated history of working positively and professionally with staff students (including young children) parents and the public.
  4. Ability to remain calm patient and organized when handling frequent interruptions and diverse needs of young children and their families.
  5. Knowledge and skills in office procedures computer systems (Google Suite Skyward Excel Word etc.) and general bookkeeping.
  6. Ability to maintain confidentiality handle sensitive information appropriately and exercise good judgment in a fast-paced multi-tasking environment.
  7. Strong attendance history; regular attendance and punctuality are essential.
  8. Ability to work independently and collaboratively as part of a school team.

ESSENTIAL JOB FUNCTIONS

  1. Provide a warm welcoming and professional first point of contact for students families and staff at the front office.
  2. Support the principal and other school staff by organizing and coordinating daily office operations in an elementary school environment.

  3. Maintain accurate student records related to attendance enrollment health discipline and emergency contacts.
  4. Coordinate registration for new students and prepare materials for school-wide events such as back-to-school night kindergarten orientation and parent conferences.
  5. Communicate clearly and compassionately with parents regarding attendance health concerns and general school information.
  6. Administer medication and basic first aid to students in accordance with district policy and state law.
  7. Monitor students in the office as needed including those waiting for pick-up sick students or those needing a break from class.
  8. Prepare and process purchase orders maintain supply inventories and assist with school budget tracking.
  9. Format and produce school correspondence newsletters memos and other documents from verbal instructions or handwritten drafts.
  10. Maintain confidentiality of student records and sensitive communications.
  11. Support staff with scheduling calendaring and coordination of meetings and building events.
  12. Provide guidance and oversight to student office helpers and volunteers.
  13. Assist in the organization of school activities assemblies and student celebrations.
  14. Collaborate with the principal and staff to foster a safe positive and nurturing school environment.
  15. Perform additional duties as assigned by the building principal or district office.

TESTING REQUIREMENTS

  1. First aid card may be required for specific positions
  2. Ability to successfully complete the typing assessment with a score in the upper Moderately Effective to Highly Effective range. Current in-district employees with five (5) or more years of experience in the Moses Lake School District may have the typing test waived at the discretion of the principal/director.
  3. The hiring manager may choose to administer a position-specific assessment to help inform the selection process.
