Position Summary

This role reports to the Operations Manager IFS UKand will play an integral roletoprovide operational and financialservicesneeded byIFS UK tosupport the growing demandfor IFS (Internal Family Systems) Institutes programs.

The Training Operations/FinancialSpecialistwillsupport the Operations Manager with the implementation and execution of all IFS UK programming. This role will provide key operationaladministrativeand financialsupport to respond to a rapidly expanding community seeking access to and engaging in IFS Institute Programs. TheTraining Operations and Financial Specialistwill engagewiththeIFSUK teamthe IFS UKcommunityand IFS InstituteOperations/ITteam.


IFS UK was recentlyacquiredby the IFS Institute in the United States. As part of this evolving integration this role will help support the alignment of systems processes and operational practices between IFS UK and the global IFS Institute organization.

The IFS Instituteoperatesas a distributed team that relies on technology collaboration and periodic in-person gatherings to stay connected. The ideal candidate is comfortable working remotelydemonstratesstrong self-leadership and thrives in a collaborative and evolving organizational environment. Flexibility in work hours may occasionally beto supporttrainings including limited weekend work.

Key Responsibilities

  • Ensurea high levelof customer service support to training staff and participants of our training and program offerings.
  • Adhere toa calendar of key dates/deadlines for the smooth running of operational work.
  • Manageaspects assigned ofthe maintenance andadministrative systems and record keeping for each training
  • Partner with the finance team tomaintainaccuratefinancial records including training budgets payments and financial reporting.
  • Managethe administrative aspects of assembling and overseeing staff teams for trainings and necessary programs.
  • CreateanddisseminatecourseevaluationsandstaffCPD letters.
  • Collaborate with internal teams including Operations IT Finance trainers and program staff to support program delivery.
  • Provide guidance and coordination with supporting roles such as finance staff web support and Zoom technicians.
  • Other duties as assigned.

Skills and Attributes

  • EstablishedIT skillswithMicrosoft365 Google Workspace and zoom
  • A strong attention to detail anda high levelof accuracy
  • Skilled at communicating kindly clearly and professionally in written and spoken English
  • Experience in the use of AI to enhance the efficiency of administrative processes.
  • Experience of working independentlyproactivelyandcollaborativelyin a global team.
  • Ability toattune to andengage harmoniously witha range of personality typesculturesandbackgrounds.

Role Requirements

  • 3-5 years of relevant administrative experience
  • Experienceofmanagingthefinancial requirements ofabusiness.
  • Bachelors degree
  • Exceptional organisational time-management and follow-through skillsability to prioritise problem solve and meet deadlines
  • High levelproficiencywith of MS Office products (Word Excel Outlook) Google Workspace.
  • Experience of working with a CRM system
  • Proficient at hosting Zoom meetings
  • High levelof sensitivity with strong interpersonal and customer care skills
