Job Summary

We are looking for a Client Relations Administrator to join our growing team at ONBusiness a division of Gauvreau Accounting Tax Law Advisory. This is a pivotal role within the firm responsible for supporting client onboarding bookkeeping and tax administration corporate client services and general office operations. This position ensures that clients receive exceptional service and support. The role involves a blend of client interaction administrative duties and collaboration with internal teams to meet and exceed client expectations.


Accountable For:


  • Contact new clients to gather all required information and ensure accurate storage on the firms server
  • Set up new clients in required databases the iFirm Client Portal and complete CRA authorization
  • Log all Bookkeeping and Tax projects in Karbon including T4 T5 T3 and T1 files
  • Assemble and deliver client tax packages and coordinate the collection of required signatures
  • Prepare yearend requirement letters and engagement letters; scan and store signed documentation on the server
  • Log corporate client yearends and typecheck Financial Services Division statements and correspondence
  • Obtain signed client approvals for Notice to Reader engagements
  • Assemble complete financial statement packages
  • Schedule yearend meetings with the appropriate partner
  • Perform lockdown and rollforward of CaseWare files

Other Client Services:

  • Develop and maintain longterm positive relationships with clients
  • Act as the primary point of contact for clients ensuring clear professional and timely communication
  • Respond to client inquiries and resolve issues promptly and effectively
  • Work collaboratively with internal teams to address client needs and ensure quality service delivery
  • Maintain accurate and uptodate client records
  • Respond to CRA requests and upload required documentation through Represent a Client
  • Print and prepare letters invoices financial statements T2 corporate tax returns lead sheets and additional Bookkeeping documentation as requested
  • Review Partners and managers calendars daily and prepare all required files for upcoming client meetings
  • Ensure partners and managers have appropriate documentation ahead of meetings
  • Provide administrative support as directed by the Manager of Administration
  • Provide backup support to the Supervisor of Client Relations Admin & Tax Assistant including tax duties and client correspondence during absences
  • Support the management of the iFirm Client Portal as needed
  • Provide reception desk coverage when required
  • Maintain positive working relationships with clients suppliers employees contractors shareholders and other stakeholders
  • Uphold strict confidentiality of all client affairs
  • Address complaints and resolve conflicts in a courteous and respectful manner escalating when necessary
  • Report administrative operational and ONBusinessrelated issues to the Manager of Administration in a timely manner
  • Support and promote the ONBusiness name and values
  • Maintain cleanliness of the production room including restocking supplies managing boxes and kitchen organization

Qualifications/Skills Experience and Personal Attributes:

  • Effective communication skills (verbal written electronic);
  • Solid knowledge and skills in Microsoft Word Excel PowerPoint and Outlook
  • Proficient keyboarding skills;
  • Ability to work independently;
  • Ability to meet deadlines;
  • Ability to co-ordinate multiple tasks;
  • Excellent time management skills (organization & prioritization);
  • A positive attitude with a desire to exceed expectations


Please note: This is a fulltime temporary position for a six (6)month term ending in October 2026 with the potential for extension.


Additionally candidates selected for an interview may be required to complete a skills assessment following the interview. The assessment will take no more than 30 minutes to complete.
