The Operations Coordinator supports the daily operational administrative and logistical functions of the Pediatric Hospital-to-Home Unit serving medically fragile children. This role ensures efficient coordination between clinical staff families hospitals vendors and internal departments to facilitate safe transitions from hospital to home and maintain high-quality care delivery. Working closely with the Director of Nursing the Operations Coordinator helps manage scheduling compliance documentation program logistics and cross-department communication to ensure the program operates smoothly and meets regulatory organizational and family needs
ESSENTIAL FUNCTIONS
Program Operations & Coordination
Coordinate day-to-day operational activities for the pediatric hospital-to-home program.
Support the Director of Nursing with operational planning program logistics and workflow management.
Assist in the coordination of admissions referrals and discharges in collaboration with hospital partners and clinical staff.
Maintain operational calendars staffing coordination tools and program tracking systems.
Ensure smooth communication between nursing staff case managers physicians and external partners.
Maintain program records reports and operational documentation.
Track required documentation related to patient services regulatory compliance and quality initiatives.
Assist with preparation of reports for leadership regulatory bodies and internal meetings.
Support scheduling of team meetings case conferences and training sessions.
Serve as an operational point of contact for families hospitals and referral sources regarding program processes.
Support Case Management staff with logistics for new patient transitions from hospital to unit and to home care. Staffing & Resource Coordination
Assist with coordination of staffing schedules coverage needs and hiring logistics.
Maintain records related to staff training credentials and compliance requirements.
Coordinate ordering and tracking of program supplies equipment and operational resources.
Support the DON in staffing needs around youth appointments.
Manage the unit payroll. Quality & Compliance
Support the DON with program compliance related to healthcare regulations organizational policies and quality standards.
Participate in quality improvement initiatives and operational reviews as directed by the DON. Interdepartmental Collaboration
Work closely with nursing leadership program directors finance HR and administrative teams as necessary.
Assist with internal coordination related to billing processes program reporting and operational needs.
Support special projects and program initiatives assigned by leadership.
Qualifications Education
Bachelors degree in healthcare administration public health social services nursing support or a related field preferred. Experience
24 years of experience in healthcare operations program coordination or administrative support. Maryville Academy
