Job Summary

Koniag Professional Services LLC a Koniag Government Services company is seeking a Senior Executive Administrative Assistant to support KPS and our government customer in Washington DC. This role demonstrates mastery and efficiency in all administrative functions while providing enhanced support for complex correspondence management and staff oversight. The position serves as the primary escalation point for administrative issues and manages the end-to-end process for critical sensitive and controlled correspondence including eDOCS IG GAO LRM FOIA and similar high-priority initiatives. This role requires sophisticated understanding of government operations and the ability to manage and control workflow for on-site administrative staff while maintaining the highest standards of security and discretion essential to national energy security Responsibilities:Advanced Administrative Functions:Perform all below functions with demonstrated mastery and efficiency in all administrative functionsProvide comprehensive daily administrative support to one or more senior-level managers or department headsMaintain consistent presence at CESER Front Desk during regular business hours (8:00 AM - 5:30 PM) acting as primary point of contactExecute core administrative functions across four key areas:Administration ManagementExecutive Administrative FunctionsExecutive SchedulingExecutive Timekeeping ManagementFunction as primary escalation point and first-level problem solver for complex issues encountered by administrative support staffProvide guidance and resolution for administrative challenges across the officeStaff Management and Coordination:Manage and control workflow for on-site administrative staffDelegate tasks effectively with appropriate prioritizationConduct quality assurance for administrative work productsMentor and guide lower-level administrative staffCritical Correspondence Management:Support end-to-end process for critical sensitive and controlled correspondenceManage eDOCS IG GAO LRM FOIA and similar high-priority initiativesProvide oversight from initial receipt through final resolution and archivingEnsure compliance with ES GAO and IG procedures and DOEs Correspondence Style GuideComplete quarterly reporting for IG/GAO using DARTS systemEnhanced Security and Compliance:Handle Controlled Unclassified Information (CUI) Official Use Only (OUO) Confidential and Personally Identifiable Information (PII)Maintain strict adherence to security protocols and Departmental guidelinesCoordinate with CESER HQ Security Officer regarding foreign nationals meetings and secured meeting roomsDevelop and maintain Standard Operating Procedures (SOPs) for all functional activitiesProgram Coordination:Support Asset Management efforts for CESER Senior and Executive LeadershipManage SharePoint site messaging and visuals for SOPsProcess requests for leadership speaking engagements and public eventsCoordinate with external requestors to negotiate due dates and mitigate operational disruptionsRequired Qualifications:Education:Bachelors degree in Business Organizational Communications Political Science Management or related field from an accredited college or universityAdvanced degrees may be substituted for years of experience requiredExperience:Minimum 7 years of total professional experienceAt least 5 years of relevant Government work experienceExtensive experience in senior-level administrative support supporting Senior Executive Service/GS-15 level and aboveDemonstrated experience managing administrative staff and complex workflowsExperience with controlled correspondence and federal compliance processesTechnical Skills:Proficiency working in MS Windows environmentExpert-level proficiency in MS Office Suite (Word Excel PowerPoint Outlook)Ability to draft Word documents and PowerPoint presentations for federal reviewAdvanced ability to utilize Excel to track and review data and perform analysis for federal useProficiency with DARTS (Departmental Audit Reporting & Tracking System)Experience with SharePoint site managementKnowledge of government correspondence systems (eDOCS)Specialized Knowledge:Comprehensive knowledge of DOE administrative policies procedures and requirementsUnderstanding of Inspector General (IG) and Government Accountability Office (GAO) processesKnowledge of Freedom of Information Act (FOIA) proceduresFamiliarity with records management programs and compliance requirementsUnderstanding of Enterprise Internal Controls requirementsLeadership and Management Skills:Demonstrated ability to manage and mentor administrative staffExperience in workflow management and quality assuranceAbility to serve as escalation point completeMaintain indexed decision logs for all actionsProvide uninterrupted front desk coverage during business hoursSubmit travel vouchers within 5 business days of completionDeliver meeting minutes within 24 hours of meeting completionProper formatting of controlled correspondence without spelling/grammar errorsTimely completion of quarterly IG/GAO reporting requirementsEffective management of administrative staff workflow and quality assuranceSuccessful resolution of complex administrative issues as primary escalation pointMaintenance of comprehensive tracking systems for controlled
