This position will perform work responsibilities for Tennessee Child Support Employment & Parenting Program (TCSEPP). This position provides administrative support for SWORPS Tennessee Child Support Employment and Parenting Program (TCSEPP) program staff. The TCSEPP team has the mission to help non-custodial parents overcome barriers to employment in order to become stable obtain employment pay child support become self-sufficient and be an active parent in their child(ren)s lives.
The Administrative Data Entry Specialists responsibilities will include but are not limited to: Provide front-line service and support to TCSEPP Program Staff SWORPS staff and other visitors in a proficient and productive manner. Provide general office support including but not limited to answering phones greeting visitors managing office staff email maintaining office orderliness and confidentiality and distributing filing faxing and copying standard documents. Updating case management records using proprietary software and Excel spreadsheets and assisting with case management record keeping. Preparing fiscal records i.e. child support pre-enrollment and post-exit payment tracking and other duties as required.
This is a grant-funded position and is contingent upon the continued funding of the grant.
The Administrative/Data Entry Specialistresponsibilities willinclude but are not limited to:
Entering child support payment data into data management system
Providing TCSEPP program staff with case information; i.e. new referrals and official child support
court dates capias incarceration etc
Coordinating with managers and evaluators to provide necessary data from third party software
Maintaining participant privacy and data security
Answering phones/returning phone calls utilizing the RingCentral Phone App
Sending composing and managing email
Composing and sending letters
Communicating with program staff and evaluators through email and meetings
Participating in conferencing software such as Zoom Microsoft Teams. Setting up Zoom and/or
Microsoft Teams meetings
Tracking participant child support payments pre-enrollment and post-exit
Assisting with gift card management & mailing of gift cards
Assisting with preparing fiscal/accounting and travel documents
Ordering office supplies as needed
Providing document support using Office 365 products
Providing effective written oral and digital communication in English
Providing back-up support for TCSEPP Administrative Colleagues
Assisting with special projects
Other duties as assigned
Required Qualifications
Applicants must be legally authorized to work in the United States on a full-time basis without need now or in the future for sponsorship for employment visa status.
Preferred Qualifications
Experience: Extensive clerical data entry and customer service experience in an office setting and work with social services programs or child support.
