MalaceHR is seeking a detail-oriented and organized Order Processor to support daily order management operations. This role is responsible for coordinating with customers and vendors to ensure timely approval processing and fulfillment of orders. The ideal candidate will have strong communication skills a high level of accuracy and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities
Purchase Order (PO) Management
- Review and process PO confirmations
- Create and route cases from PO confirmations to the appropriate internal departments
- Follow up with vendors on unconfirmed purchase orders using PO confirmation reports
Shipment Quoting
- Prepare and provide shipping quotes for ground shipments outside the contiguous United States including Alaska Hawaii Canada and international destinations
Tracking & Documentation
- Transfer vendor-supplied tracking numbers from the Customer Service inbox into NetSuite
- Create and maintain accurate Shipping Cost Details and Item Fulfillments within the system
Customer & Vendor Coordination
- Communicate with customers to confirm agreement on freight terms and conditions
- Collaborate with vendors and internal teams to ensure smooth order processing and delivery
Additional Duties
- Maintain accurate records and documentation
- Utilize Microsoft Excel for tracking and reporting tasks
- Perform other duties as assigned to support business operations
Qualifications
- Proficiency in Microsoft Excel
- Strong attention to detail and organizational skills
- Excellent communication and follow-up abilities
- Ability to manage multiple priorities in a fast-paced environment
- Experience with order processing logistics or ERP systems (NetSuite preferred) is a plus
Work Environment
- Hybrid schedule:
- Onsite: TuesdayThursday
- Remote: Monday & Friday
