Job Summary

Bids & Tenders and Customer Service Manager plays a key role within the Distribution department with responsibility for the Bids & Tenders team and the Customer Service team.

The person in this role will be accountable for ensuring preparing and submitting tender offers signing contracts and subsequently delivering them in full compliance with legal requirements and company addition this person will oversee the entire customer service area supervising day-to-day operations to ensure a high level of customer satisfaction.

Responsibilities:

  • Managing and coordinating team responsible for preparation of tender offers in accordance with all requirements of the Public Procurement Law ensuring accuracy completeness and timeliness.

  • Overseeing team responsible for daily operations to deliver prompt and effective customer service continuously seeking feedback and solutions to improve satisfaction metrics and outcomes.

  • Supervising all customer service and tender-related activities to ensure strict adherence to relevant regulations corporate policies and ethical standards including those related to pharmaceutical distribution procurement and data privacy. Maintaining transparent and accurate documentation to support internal and external audits.

  • Co-developing with the Distribution Director and implementing a comprehensive strategy for the team.

  • Identifying new opportunities within the function using available internal and external data.

  • Collaborating with Finance Regma Commercial Regulatory and Medical teams to ensure appropriate communication and information exchange necessary for the effective delivery of responsibilities.

  • Monitoring team performance through quantitative and qualitative metrics; regularly reporting on service levels tender success and process improvements.

  • Promoting the identification and implementation of process improvement initiatives (such as Lean or Six Sigma) engaging the team in problem solving.

  • Leading the effective use of AI and digital platforms (e.g. chatbots CRM analytics tender automation tools) to streamline workflows automate tasks and enable data-driven decision-making.

  • Leading coaching and inspiring the team setting clear goals and monitoring performance.


Requirements:

  • University degree in organization and management finance pharmacy or a related field.

  • At least 3 years independent experience in public procurement within the pharmaceutical/medical or related industries.

  • At least 2 years experience in roles related to Customer Service.

  • At least 3 years experience in people development and building highly effective teams.

  • Strong organizational communication and analytical skills.

  • Ability to work in a complex dynamic environment.

  • Creativity and the ability to lead teams and inspire them to achieve goals.

  • Proactive approach to problem solving and taking initiative.

  • Fluent English and polish.
