Job Title: Administrative Assistant
Location: Boston MA 02108 (Onsite)
Employment Type: 4-Month Contract
Position Summary
We are seeking a detail-oriented and highly organized Administrative Assistant to support the licensure lifecycle management of six professional licensing boards including Nursing Home Administrators Respiratory Care Genetic Counselors Naturopathic Doctors Perfusionists and Community Health Workers.
This role works closely with the Executive Director to ensure regulatory compliance efficient board operations and high-quality customer service for applicants and licensees.
Key Responsibilities
- Review evaluate and process complex initial and renewal licensure applications across multiple professional boards
- Support all Board meeting activities for the Multi-Board Division in coordination with the Executive Director
- Prepare meeting agendas document proceedings and draft official meeting minutes
- Compile analyze and interpret statistical and operational data to support reporting and special projects
- Manage high-volume phone and email inquiries providing accurate information regarding licensing requirements regulations and procedures
- Draft professional correspondence memoranda reports and regulatory communications for executive review
- Maintain accurate electronic records and update computerized databases and automated correspondence systems
- Ensure compliance with state licensing laws board policies and regulatory standards
- Perform additional administrative and operational support duties as assigned
Required Qualifications
- Proven experience as an Administrative Assistant Executive Assistant Secretary or Office Support Specialist
- Strong written and verbal communication skills particularly in regulatory or compliance-based environments
- Proficiency in Microsoft Office Suite and computerized data management systems
- Experience reviewing applications legal documentation or compliance-related materials
- Ability to interpret policies regulations and licensing laws
- Strong organizational skills with the ability to manage multiple boards and deadlines simultaneously
- High attention to detail and accuracy in documentation and reporting
- Ability to prepare formal memoranda reports and executive-level correspondence
