Role Overview
We are looking for a proactive and highly organized Executive Assistant with strong analytical coordination and project management skills. The ideal candidate will have proven experience in tracking and auditing business initiatives driving action items maintaining dashboards and conducting data analysis to support leadership in decisionmaking. This role goes beyond traditional EA responsibilities and requires a blend of operational excellence business understanding and stakeholder management.
Key Responsibilities
1. Initiative Tracking & Governance
- Track progress of all strategic initiatives projects KPIs and action items driven by leadership.
- Ensure business units meet deadlines escalate delays and drive accountability.
- Maintain initiative trackers matrices and compliance logs.
2. Auditing & Operations Oversight
- Conduct periodic audits of processes deliverables internal reports and project progress.
- Validate data received from crossfunctional teams and ensure accuracy.
- Identify gaps highlight risks and recommend corrective actions.
3. Dashboard Management & Reporting
- Create maintain and update management dashboards on:
- Operational KPIs
- Strategic initiative progress
- Financial and performance metrics
- Weekly/monthly business reviews
- Prepare MIS reports executive summaries and data-driven presentations for leadership.
4. Data Analysis & Insights
- Analyze data to identify trends deviations risks and opportunities.
- Support leadership in decisionmaking through insights projections and scenario analysis.
- Build structured reports using Excel Google Sheets Power BI or analytics tools.
5. Communication & Stakeholder Management
- Draft emails communication briefs and executive-level correspondence.
- Liaise with internal teams clients and partners on behalf of leadership.
- Ensure timely closures on commitments made by leadership across departments
Required Skills & Competencies
Technical Skills
- Strong command over Excel/Google Sheets dashboards and analytical reports.
- Experience with Power BI/Tableau (preferred).
- Ability to audit data validate inputs and prepare structured management reports.
- High proficiency in PowerPoint for presentations.
- Familiarity with project management tools (Asana Trello Jira etc.).
Soft Skills
- Excellent communication interpersonal and coordination abilities.
- Strong analytical thinking and problemsolving skills.
- High level of ownership confidentiality and professionalism.
- Ability to multitask and prioritize under pressure.
- Strong followup discipline and commitment to meeting deadlines.
Educational Background
- Bachelors degree in Business Administration Commerce Management or related field.
- MBA or certification in analytics/project management is a plus.
Preferred Experience
- Minimum 5 years as an Executive Assistant Project Coordinator Business Analyst or similar role.
- Experience working with senior leadership/CXO-level executives.
- Proven track record of managing dashboards audits and initiative tracking.
