We are looking for aneditorial administrator editorial management to support the smooth day-to-day running of editorial operations.

At the heart of our fast-moving news organisation the central Editorial Management team keeps the operational engine of the Guardians editorial department running an environment where priorities shift quickly the team ensures that critical administrative financial staffing and casual worker processes operate smoothly - enabling editors and journalists to focus on delivering world-class Guardian journalism.

This is an 18-month fixed term contract or staff secondment.

About the role

  • Provide comprehensive administrative assistance to Senior Managing Editors including complex diary management international travel coordination and overseeing office logistics.
  • Support the end-to-end cycle of casual (freelance) staff including onboarding maintaining booking databases and acting as the primary point of contact for shift scheduling and queries.
  • Oversee the administration for specific editorial sections (such as Crosswords) managing the payment pipeline for external contributors and coordinating the fulfillment of reader prizes and stock.
  • Facilitate smooth department operations by processing purchase orders reconciling corporate credit cards and managing the central ledger for editorial print and digital subscriptions.
  • Manage administration surrounding sabbatical entitlements and sickness - ensuring accurate record-keeping and proactive internal communication.
  • Assist with the end-to-end process for media award submissions and ceremonies and provide back-up support for global staff secondments including travel accommodation and press card distribution.

About you

  • Working in a busy fast-paced environment ideally supporting multiple stakeholders or teams
  • Managing diaries and coordinating meetings
  • Handling confidential and sensitive information with discretion
  • Processing invoices costs or payments with accurate data entry across financial systems
  • Working with spreadsheets (google sheets and Excel) with excellent attention to detail and accuracy
  • Managing or supporting structured administrative processes
  • Experience arranging international travel and accommodation is desirable
  • Ideally youll have a demonstrable ability to bring a diverse perspective to this role

Youll have 6 weeks of annual leave per year (plus bank holidays) with the option to purchase an additional 5 days.
